The Role
Join Alight as an Event Specialist, where you will help create meaningful, well-executed experiences for colleagues, clients, prospects, and other stakeholders. As part of the Revenue and Growth Marketing team, you will support the planning and delivery of internal and external events by coordinating logistics, cross-functional workstreams, supplier relationships, schedules, communications, and event materials. The ideal candidate is organized, resourceful, collaborative, and committed to executing every detail with care.
Responsibilities
- Support end-to-end planning and execution for large-scale internal and external events, including project timelines, team coordination, pre-event preparation, and onsite or day-of support.
- Coordinate event materials and brand collateral to ensure deliverables are accurate, on brand, and completed on schedule.
- Maintain and update project plans, budgets, event schedules, planning documents, and other key project materials.
- Help deliver a seamless attendee experience by coordinating registration, attendee surveys, and related event communications.
- Partner with internal stakeholders to track deliverables, align timelines, and support smooth execution across event workstreams.
- Coordinate with suppliers, vendors, venues, and other external partners, supporting timely decisions and follow-up on open items.
- Bring creative, practical ideas that enhance the attendee experience while balancing budget, timing, brand, and operational needs.
- Identify challenges, recommend solutions, and help resolve issues throughout the planning process.
- Assist with ad hoc project needs and administrative tasks that support successful event delivery.
- Demonstrated experience coordinating event logistics and project deliverables from planning through post-event follow-up. Experience working across teams and with external suppliers is strongly preferred.
Required Qualifications
- 1 to 3 years of experience in event planning, event operations, marketing events, or related project coordination.
- Experience coordinating with suppliers, vendors, venues, or other external partners.
- Strong project management and organizational skills, including the ability to manage multiple priorities, deadlines, budgets, and details simultaneously.
- Excellent written and verbal communication skills, with the ability to engage internal stakeholders and external partners professionally.
- Leverages MS Office, event management technologies, and AI-powered solutions to enhance operational efficiency, data insights, and event experiences.
- Ability to drive timely decision-making, follow up on open items, and keep stakeholders aligned.
- High attention to detail and a strong commitment to quality, consistency, and follow-through.
- Collaborative, service-oriented mindset and commitment to colleague, client, and prospect engagement.
- Ability to travel approximately up to 20% as required for event support.
- This role may require flexible hours before and during events, including occasional early mornings, evenings, or weekends.
Preferred Qualifications
- Bachelor’s degree in marketing, hospitality, communications, business, or a related field, or equivalent practical experience.
- Experience supporting corporate, client, prospect, conference, or large-scale internal events.
- Experience with event registration platforms, project management tools, budget tracking, or attendee communications.
- Ability to work effectively in a fast-paced, cross-functional environment and adapt to changing priorities.
