This is an opportunity to join a dedicated international nonprofit organization focused on Holocaust remembrance and education. The organization works tirelessly to ensure historical lessons serve as a foundation for resilience against contemporary challenges and prejudice.


As an Executive Assistant, you will serve as a vital operational partner to the Executive Director and the leadership team. This role is a blend of high-level executive support, scheduling coordination, and administrative follow-through. You will play a key part in a remote, collaborative team, helping to bridge the gap between strategic initiatives and daily execution while engaging with an active volunteer leadership structure.


Key Responsibilities


  • Managing the Executive Director’s calendar, ensuring leadership is prepared for all commitments and deadlines
  • Liaising with an active volunteer leadership board to coordinate scheduling and organizational priorities
  • Handling external communications via the Constant Contact platform and managing incoming website inquiries to ensure timely follow-ups
  • Partnering with the Strategy & Communications Director on ongoing initiatives and maintaining organized workflows across the remote team
  • Supporting board meetings and in-person events by managing invitations, guest lists, RSVPs, and post-event communications
  • Performing general tasks including document preparation, editing, and tracking outcomes for various organizational projects


Must-Have Requirements


  • Exceptional verbal and written communication skills are essential
  • Prior background as an Executive Assistant, Office Manager, or in a similar operational support role
  • Required expertise in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple priorities, urgent requests, and complex schedules independently
  • A self-starter who anticipates needs, solves problems, and helps leadership stay on track
  • Comfortable working in a distraction-free remote environment and adapting to fluctuating workloads
  • College degree or equivalent professional experience


Nice-to-Have Requirements


  • Experience supporting nonprofits, mission-driven organizations, or volunteer-led teams
  • Familiarity with coordinating boards or committees
  • Basic experience with website updates and maintenance
  • Strong project management and operational coordination skills
