About the Opportunity The Executive Assistant to the CEO & Board Liaison is a trusted strategic partner who provides high-level administrative, operational, and governance support to the Chief Executive Officer while serving as the primary liaison between the CEO, the Board of Directors, and executive leadership. This role requires exceptional judgment, discretion, organization, and communication skills. The successful candidate will anticipate needs, manage competing priorities, coordinate governance activities, and ensure the efficient flow of information across the organization while maintaining the highest standards of confidentiality and integrity. What you will be doing Acts as the primary operational and administrative partner to the CEO, managing complex calendars, communications, and executive office workflows. Serves as the key liaison to the Board of Directors, facilitating all governance activities, meeting packages, board portal maintenance, and official records. Coordinates cross-functional strategic projects and supports executive leadership initiatives across the organization. Responsibilities Provides comprehensive executive support to the CEO, including complex calendar management, travel arrangements, meeting logistics, and preparation of briefing materials, presentations, and correspondence. Coordinates all Board and committee meetings, including preparing and distributing agendas, meeting packages, minutes, and governance documentation; maintains the Board portal and corporate records in compliance with regulatory standards. Serves as the primary point of contact for communications between the CEO, Board members, executive leadership, government officials, and external stakeholders. Manages day-to-day executive office operations, continuously improving administrative processes, systems, and record retention structures. Supports strategic planning and project coordination by tracking organizational priorities, conducting research, and monitoring timelines and deliverables for senior leadership. Handles financial and administrative tasks including processing executive expenses, credit card reconciliations, purchasing approvals, and contract documentation. Assists with Annual General Meeting (AGM) planning, new Director orientation, and ongoing Board evaluations and work plans. Performs other related duties as required. The Qualifications and Skills you Bring Diploma or Bachelor’s degree in Business Administration, Public Administration, Governance, Office Administration, or a related field. Five (5) to eight (8) years of progressively responsible executive administrative experience supporting a CEO or senior executive, including direct experience supporting a Board of Directors. Thorough understanding of Board governance practices, meeting procedures, and corporate record-keeping. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and experience with Board management portals (e.g., BoardEffect, Diligent, OnBoard) is considered an asset. Exceptional written and verbal communication skills with high political and organizational awareness. Superior organizational, time-management, and problem-solving abilities with high attention to detail. Proven track record of handling sensitive and confidential information with absolute discretion and integrity. Governance certification (e.g., GPC.D) is considered an asset.
