About the Role
PsychPlus is seeking a highly organized and detail-oriented Executive Assistant + Medication Documentation Specialist to provide remote administrative and documentation support to our leadership and clinical teams.
This role combines executive-level administrative support with medication documentation responsibilities, making it ideal for someone who is exceptionally organized, comfortable handling confidential healthcare information, and experienced in accurately documenting medication-related information.
The successful candidate will support scheduling, correspondence, meeting coordination, documentation, and day-to-day administrative needs while assisting with the accurate preparation and maintenance of medication-related documentation for our clinical operations.
This is a remote position supporting PsychPlus operations from Pakistan, with the ability to work during U.S. business hours as required.
Responsibilities
Executive Assistant Support
- Provide professional administrative support to executive leadership and designated members of the clinical team.
- Manage calendars, scheduling, meetings, appointments, and follow-up items across multiple priorities.
- Coordinate internal and external meetings and ensure appropriate preparation and follow-up.
- Draft, organize, and manage correspondence, reports, presentations, and other executive documents.
- Serve as a professional point of contact between leadership, internal departments, providers, and external partners.
- Track action items, deadlines, and follow-ups to ensure timely completion.
- Assist with special projects, research, reporting, and other operational initiatives.
- Handle confidential and sensitive information with professionalism and discretion.
- Anticipate executive needs and proactively address administrative and logistical matters.
- Support leadership in maintaining organization, efficiency, and alignment across departments.
Medication Documentation Support
- Accurately document and maintain medication-related information based on provider instructions and established workflows.
- Assist with medication lists, medication reconciliation documentation, refill-related documentation, and other medication records as assigned.
- Review documentation for completeness, accuracy, consistency, and missing information.
- Enter and update medication information within the appropriate electronic health record (EHR) and internal systems.
- Assist clinical teams with organizing medication-related documentation and follow-up items.
- Identify discrepancies, missing information, or documentation issues and escalate them to the appropriate clinical or administrative team member.
- Maintain strict confidentiality when handling patient health information and clinical documentation.
- Follow PsychPlus policies, documentation standards, and applicable privacy requirements.
- Support additional clinical documentation and administrative tasks as needed.
This position is administrative/documentation-focused and does not independently prescribe, recommend, or make clinical decisions regarding medications.
Requirements
- Minimum of 2 years of experience in executive assistance, healthcare administration, medical documentation, medical scribing, clinical support, or a related field.
- Prior experience working with medication documentation, medication lists, medication reconciliation, prescriptions, or EHR documentation strongly preferred.
- Experience supporting physicians, psychiatrists, PMHNPs, or other healthcare providers is a strong plus.
- Bachelor’s degree in business administration, healthcare administration, communications, life sciences, or a related field preferred.
- Strong understanding of professional healthcare documentation and terminology.
- Experience working with electronic health records (EHRs) and healthcare-related software.
- Exceptional attention to detail and accuracy when entering or reviewing medication information.
- Strong written and verbal English communication skills.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated professionalism and discretion when handling confidential information and protected health information.
- Strong Microsoft Office/Google Workspace skills and familiarity with calendar-management and productivity tools.
- Ability to work independently in a remote environment while maintaining consistent communication with U.S.-based teams.
- Willingness and ability to work U.S. business hours, including Central Time, as required.
- Proactive, resourceful, dependable, and solution-oriented approach to work.
Preferred Qualifications
- Experience supporting a U.S.-based healthcare organization.
- Experience in psychiatry, behavioral health, mental health, or other outpatient healthcare settings.
- Familiarity with psychiatric medications and common medication terminology.
- Experience with medication reconciliation or provider documentation workflows.
- Experience working with telehealth or digitally enabled healthcare organizations.
- Experience supporting senior executives, physicians, or healthcare leadership.
