About The Role
We are seeking a dedicated and highly organized full-time Executive Assistant to join our team in the San Francisco Bay area. Reporting directly to the Senior Manager of Talent Development, this role is pivotal in maximizing the effectiveness and impact of Gainsight’s CEO. The successful candidate will serve as a trusted partner, managing the CEO’s daily operations, proactively prioritizing tasks, and ensuring seamless execution of responsibilities. The role requires anticipating needs, resolving conflicts, and creating an efficient structure that allows the CEO to focus on strategic initiatives. This position offers the flexibility of remote work with on-site presence required when the CEO is in the San Francisco office or attending key meetings. The ideal candidate will thrive in a fast-paced, dynamic environment, demonstrating exceptional skills in executive partnership, complex calendar management, travel coordination, and operational execution.

Qualifications
- Located in the San Francisco Bay area
- 10+ years of experience as an Executive Assistant, with 3-5 years supporting a CEO or senior executive in a fast-paced, global organization
- Proven ability to operate as a trusted partner to executive leadership with sound judgment and discretion
- Expertise in managing complex calendars across multiple time zones
- Extensive experience coordinating domestic and international travel, including last-minute changes and detailed itineraries
- Strong proficiency in managing executive expenses with accuracy and attention to detail
- Exceptional written and verbal communication skills
- Outstanding organization, prioritization, and follow-through capabilities
- Ability to handle sensitive information with confidentiality and professionalism
- Experience leveraging AI and emerging technologies to optimize administrative workflows
- Demonstrated ability to build relationships across diverse stakeholders, including senior executives, board members, partners, and clients
- Manage the CEO’s calendar, ensuring alignment with high-priority business initiatives and resolving scheduling conflicts proactively
- Coordinate all aspects of travel arrangements, including visas, itineraries, transportation, and accommodations, adapting to last-minute changes as needed
- Oversee the preparation of meeting materials, briefings, and follow-up actions to ensure the CEO is well-informed and prepared
- Handle executive expenses with meticulous accuracy, ensuring timely submission and compliance with company policies
- Build and maintain strong relationships with internal and external stakeholders, including the Executive Leadership Team, Board members, customers, and partners
- Streamline operational processes by integrating AI tools and technology to improve efficiency and reduce administrative burdens
- Support the CEO in managing communications, including drafting correspondence and facilitating information flow
- Assist with special projects and initiatives as assigned, contributing to the overall effectiveness of the executive team
- Participate in occasional travel (up to 30%) for leadership meetings, company events, or other business needs
- Competitive starting salary range of $110,000–$125,000 USD annually, with potential for bonuses and equity participation
