Parenting for Lifelong Health (PLH) is looking for a detailed-oriented, resourceful, and collaborative individual to serve as an Executive Assistant to the Chief Executive Officer and Chief Innovation and Scaling Officer.

Salary: £28,171 to £33,353 ($37,692 to $44,626).

About the role:
PLH is seeking a highly organised, discreet, and resourceful Executive Assistant to support our Executive Team including our Chief Executive Officer (CEO) and Chief Innovation and Scaling Officer (CISO). This role is central to keeping a fast-moving, internationally distributed portfolio of work on track — from country scaling initiatives and government partnerships to internal team growth. The ideal candidate is comfortable operating with significant autonomy, anticipating needs before they're voiced, and managing competing priorities across time zones.
This is a high-trust role for someone who can develop structure in a shifting environment, is unfazed by ambiguity, and takes pride in being the person who makes everything run smoothly behind the scenes. We’re looking for someone who likes to learn new things and is eager to leverage AI solutions to make our work more effective and efficient.
Responsibilities:
Calendar and Time Management
- Proactively manage a complex, multi-time-zone calendar spanning internal meetings, donor and government engagements, and international travel
- Triage and prioritise scheduling requests in line with the CEO and CISO strategic priorities
- Build in appropriate prep and buffer time ahead of high-stakes meetings
Travel and Logistics
- Coordinate international travel, including visas, itineraries, and accommodations for trips.
- Anticipate logistical needs for multi-stop, multi-partner trips and troubleshoot changes in real time
Administration and Correspondence
- Monitor and triage inboxes, flagging time-sensitive items and drafting responses for review
- Prepare briefing materials, talking points, meeting agendas, and meeting tools, such as Canva Whiteboards, to facilitate collaborative working sessions.
- Support ad hoc requests for formatting, filing, and organisation from the Executive Team.
Meeting and Project Support
- Prepare agendas, take notes, and track follow-up actions for key meetings, including leadership and board-adjacent sessions, ensuring seamless integration of tasks into Monday.com. Translate meeting notes into organised Claude projects to create a knowledge repository at PLH that facilitates seamless project management.
- Maintain decision logs and action-item trackers for cross-functional initiatives, ensuring nothing falls through the cracks during periods of rapid organisational growth
- Work in our task management platform, Monday.com, to support task management across the Executive Team and collaborate with the executive team to build new Monday.com management views to support project oversight
- Schedule and coordinate team meetings across multiple time zones
Confidentiality and Judgment
- Handle sensitive organisational, personnel, and partner information with absolute discretion
- Exercise sound judgment on what requires executive direct attention versus what can be delegated or handled independently
Essential criteria:
- 3+ years of experience as an Executive Assistant, ideally supporting a senior leader in a nonprofit, global health, or international development setting
- Exceptional written and verbal communication skills
- Demonstrated ability to manage complex international travel and multi-time-zone scheduling
- High level of discretion and sound judgment with confidential information
- Strong organisational skills with meticulous attention to detail
- Comfort working independently and adapting quickly amid shifting priorities
- Commitment to PLH's mission, core values, and organisational culture.
- English as a primary language or spoken with a high level of proficiency.
- Proficiency with project management and productivity tools (e.g. Google workspace, Monday.com, or similar products)
Preferred criteria:
- Experience supporting leadership through periods of organisational growth or scaling
- Familiarity with the global health, international development, or parenting/ child-wellbeing sector
- Experience working with distributed, multi-country teams
