Executive Assistant

Summary : In this role, you will provide secretarial and general administrative support to the Senior Director of Investor Relations and Corporate Treasury, exercising confidentiality, tact and diplomacy.

In this role you will :

Responsibilities

• Handle Executive’s agenda and ensure that he/she is always attainable and that all pertinent issues are dealt within a timely fashion.
• Greet, and accompany visitors, guests, high-level contacts and new comers.
• Receive, screen and direct incoming calls, mail and e-mail.
• Coordinate meeting arrangements, and tracks expenses.
• Arrange business travel and follow-up.
• Approve standard demands / requests within delegated authorities.
• Maintain project and administrative files, including distribution list
• Handle specific projects related to the activities of the executive.
• Support the IR team filtering the IR inbox, handling logistics for quarterly results calls and update of IR website
• Support on potential investor events and management of external providers
• Handle Executive’s agenda and coordinate meeting arrangements
• Process department invoices (Coupa)
• Greet, and accompany visitors, guests, high-level contacts
• Process new Iberia Cards given by Amadeus

About the ideal candidate

• 5+ years experience is a similar role assisting a Director, VP, SVP or ExCom member
• Excellent communication skills in English and Spanish.
• Excellent use of all Microsoft Tools
• Organizational skills, ability to prioritize and time management
• Previous experience in an international matrix environment
