The Executive Assistant will provide comprehensive administrative support for two senior leaders in the Chief Technology Organization. Reporting to the Senior Vice President (SVP) Head of Content Technology this role involves managing day-to-day administrative duties, ensuring smooth operations across global activities that span multiple time zones. The individual will be expected to handle scheduling, calendar management, travel arrangements, expense reporting, correspondence, team event planning, and various other tasks to support the leadership team’s needs, while maintaining efficiency and professionalism in a fast-paced environment. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.
Job Requirements
· Support Preparation for Meetings and Engagements:
o Provide the SVP and VP with background information, meeting summaries, supporting documents, and other materials for appointments, meetings, and speaking engagements.
o Coordinate with other departments as needed and maintain a detailed priority list of projects and commitments.
o Design and prepare correspondence, memos, charts, tables, graphs, presentations, business plans, and duplicate materials.
· Handle Business Finances:
o Manage business-related finances, including reconciling credit card statements and processing expense reports.
o Ensure efficient handling and tracking of invoices.
· Manage Confidential Information:
o Facilitate the smooth flow of information across organizational levels and external contacts.
o Handle sensitive and confidential information with discretion.
· Meeting and Appointment Coordination:
o Organize and manage appointments and meetings, including preparing agendas, coordinating meeting facilities, and transcribing minutes.
· Travel Arrangements:
o Arrange all domestic & international travel for the SVP and VP, including flights, hotels, and car rentals.
· Composing Correspondence and Reports:
o Write and edit business correspondence, reports, and other documents as needed.
· Organize Departmental Documents:
o Maintain and organize departmental spreadsheets, files, and records.
· Calendar Management:
o Manage the executives’ calendars, ensuring timely scheduling and prioritization of events.
· Time Efficiency:
o Assist in managing commitments to maximize the executives’ time efficiency.
· Professional Representation:
o Interact effectively with all levels of the organization and represent the SVP and VP with professionalism.Bottom of Form

Qualifications
- Ability to prioritize and independently follow through on all tasks and projects
- Self-Directed / Self-motivated / CAN-do-WILL-do attitude
- Strong English oral and written communications skills
- Dependable, Adaptable, Flexible, Poised and Articulate
- Strong event planning and organization skills
- Must be able to use considerable discretion, judgment, confidentiality and diplomacy
- Associate’s degree or equivalent work-related experience
- Minimum Five (5) Years of relevant experience.
- Intermediate to Advanced Microsoft Office Suite; Outlook, Word, Excel, PowerPoint.
· Willingness to support executive team and be on call 24/7
