Location: London (Hybrid – 3 days/week across Central London offices)
Contract Type: Temporary / Contract (Maternity Cover: 19th November 2026 – 18th June 2027, potential to extend)
Industry: Technology / Media / Artificial Intelligence
About the Role
Randstad UK is currently recruiting for an experienced Administrative Business Partner (ABP) / Executive Assistant to join a leading global technology company based in central London.
Supporting three highly active, London-based Directors across global partnerships and advanced AI business units, this is a high-visibility, fast-paced role ideal for a proactive and commercially minded administrative professional. You will act as a key operational anchor, managing complex cross-timezone requirements, high-volume calendars, international travel, and impactful team events.
Key Responsibilities
- Calendar & Schedule Optimisation: Proactively manage, maintain, and resolve scheduling conflicts across multiple time zones (EMEA and North America). Build in adequate preparation time and strategically optimise leadership time allocation.
- Travel & Expense Management: Coordinate complex international travel end-to-end (visas, passports, itineraries, and tech support). Manage expenses, process invoices, and handle purchase orders with minimal supervision.
- Event & Project Coordination: Plan and execute medium to large-scale events, off-sites, and site-wide cultural initiatives. Coordinate logistics, venues, budgets, and vendors while adhering to company policies.
- Meeting & Operational Preparation: Organise meeting agendas, compile decks, confirm room and tech setups, and assist with high-level note-taking.
- Site Culture & Space Management: Support site culture, PR, and community initiatives. Assist with space allocation, office accommodation requests, and liaison with Workplace Services.
- Confidentiality & Stakeholder Liaison: Maintain the highest standards of confidentiality while building strong relationships with cross-functional partners and senior leadership.
What We Are Looking For
- Experience: 6–7+ years in a fast-paced, high-volume Executive Assistant or ABP role (ideally within Tech, Media, or similar corporate environments).
- Speed & Adaptability: Proven track record of operating seamlessly in a fast-paced, rapidly changing environment.
- Technical & Industry Background: Background within major tech or media organisations is strongly preferred. (Note: Fashion industry background is not suitable for this role).
- Core Skills: Advanced calendar management, cross-border travel coordination, event management, resource planning, and exceptional written and verbal communication.
- Style: Down-to-earth, collaborative, highly organised, and capable of operating with minimal guidance.
Working Pattern & Contract Details
- Start Date: Mid-November 2026 (to allow for a smooth handover period).
- Hybrid Working: 3 days per week in-office across central London hubs.
- Interview Process: 2–3 stage interview process.
