D-Orbit is looking for an Executive Assistant to join the CEO Office, based in Fino Mornasco.

In this role, you will provide high-level organisational support to the CEO office, ensuring the smooth coordination of priorities, communications, meetings and business activities.
The first mission is to hold it while the current EA to the CEO is on maternity leave from October 2026; from spring 2027 the role continues as support to the Executive Leadership Team — across the team or alongside one executive, decided closer to the time.

D-Orbit offers flexibility in both working location and working hours. As with any role supporting senior leadership, this flexibility is balanced with the operational requirements of the business and the needs of the executives being supported

You will work closely with the CEO, Executive Leadership Team, internal functions and external stakeholders, contributing to efficient executive support, seamless coordination across the organisation and the achievement of strategic business objectives.

Key Responsibilities

  • Calendar and travel — ensure smooth calendar management: sequencing, protecting focus time, handling sensible rescheduling when needed, resolving conflict, planning domestic and international travel.

  • Correspondence — screen and prioritize across mailboxes; resolve or route most of it autonomously, in Italian and English.

  • Meetings and documentation — agendas, materials, and executive-grade minutes for leadership meetings — decisions, owners, deadlines — then supporting follow-up to closure. Maintain accurate records, files and documentation.

  • Support in organizing executive offsites and board meeting logistics and company events; day-to-day contact with senior leaders, board members, investors and partners.

Potential Additional Responsibilities During Verticalization

  • Calendar and travel — own the Executive’s calendar end to end, ensuring prioritization against Corporate priorities.

  • Correspondence — screen and prioritize the Executive’s mailbox; resolve or route most of it autonomously, drafting on the Executive’s behalf where appropriate, in Italian and English.

  • Material Preparation: support preparation of presentations, reports, and briefing materials for internal and external meetings. Support the Executive in project management, research, and special assignments.

Required Skills & Experience

  • Experience in executive support with direct C-level experience internationally — ideally in a scaleup or small team, during the processes definition phase.

  • Strong written and verbal communication abilities in English (Italian is a plus).

  • Ability to work independently, prioritize tasks, and adapt to changing priorities.

  • Ability to remain calm, professional, and effective under pressure and changing priorities.

  • Excellent organizational, time management, and multitasking skills.

  • High level of discretion, integrity, and professionalism.

  • Bachelor’s degree or equivalent experience is preferred.

  • Demonstrated ability to effectively leverage AI and digital tools while exercising strong professional judgment, ensuring accuracy, confidentiality, and quality of outputs in support of executive decision-making.

We offer a base salary range of 32’000€ - 40’000€ gross per year for this role, depending on experience and location, plus a performance-based variable component. Final compensation will be determined based on experience, skills, location, and internal consistency across comparable roles.
