  • Serve as a liaison on behalf of the Commercial and Medical Affairs teams, interfacing with internal and external partners and other key stakeholders.
  • Lead defined project management efforts, including planning, research, and reporting, for the Commercial and Medical Affairs teams.
  • Manage and coordinate internal communications (content, intranet) relating to launch preparation.
  • Coordinate meeting arrangements and prepare presentation materials for important events (ie advisory boards, launch planning, internal meetings).
  • Provide contracting, administrative, and logistical support for external events and congresses.
  • Manage purchase orders and invoicing and prepare expense reports and related documentation for submission within the F2G financial systems
  • Compile and maintain employee records and process documentation relating to personnel activities e.g. vacation requests.
  • Liaise with HR, Finance, and other G&A functions as needed in support of the Commercial and Medical Affairs Teams.
  • Provide administrative support to the US buildout by collaborating with the external Recruitment Process Outsourcing providers to ensure an exceptional candidate experience.
  • Troubleshoot technological and logistical issues as needed.
  • Proactively and efficiently manage schedules of a number of busy executives, remotely, with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency.
  • Comprehensive, end-to-end travel support (suggest itineraries, provide alternatives, cover all bases for efficient start-to-finish, stress-free experience for managers).
  • Regularly handle confidential and proprietary information with utmost discretion.
  • Proactively offer support to peers and other managers as workload allows.
  • A ‘hospitality’ mindset – what can they do to make their managers’ workday as efficient and stress-free as possible.
  • Attention to detail; completer-finisher mindset.
  • A college degree or high school diploma with at least 8-10+ years of relevant professional experience.
  • At least 5 years of experience supporting executive-level partners.
  • Excellent organizational and scheduling capabilities demonstrated through the ability to handle multiple projects and priorities simultaneously.
  • Excellent document drafting and proofreading skills, with high attention to detail.
  • Strong computer skills in database management and document preparation (Word, PowerPoint, Excel) required.
  • Flexibility and the ability to work collaboratively with team members for a diverse range of projects.
  • High-energy and high efficiency. Passion for the work and a preference for working in a fast-paced and demanding but fun environment.
  • A mature and professional demeanor with a high degree of self-motivation and a high level of business acumen.
  • The ability to travel to US headquarters (Princeton, NJ) to support management activities several times a month.
  • Excellent verbal and written communication skills.
  • Prior experience with a publicly traded company in the life science industry is strongly preferred.
