Job Summary
We are looking for a ROCKSTAR Executive & Franchisor Support Coordinator to join our team! The Executive & Franchisor Support Coordinator is a hybrid role designed to provide high-level administrative support to the CEO while also managing key relationships and operational tasks within our franchisor portfolio. This position handles executive email and calendar management, office administration, and operational support—while also maintaining franchisor relationships, coordinating onboarding, updating collateral materials, and supporting the brokerage team with accurate, timely information.
This role is critical in creating efficiency across executive operations and franchisor-facing functions, ensuring our leadership team, franchisor partners, and brokerage team are aligned and supported.

Responsibilities:
Executive Support (CEO)
- Manage and prioritize the CEO’s email inbox, ensuring timely responses and escalating high-priority items.
- Maintain and actively manage the CEO’s calendar, including internal meetings, franchisor calls, travel, and strategic planning.
- Prepare meeting materials, agendas, and follow-up tasks.
- Maintain confidentiality and act as a trusted point of contact for internal and external communication.
Operations & Administrative Support
- Assist the Director of Operations with administrative tasks, documentation updates, and workflow support.
- Oversee office supply ordering, vendor coordination, and general office operations.
- Process expense reports, invoices, and small project tasks that improve organizational efficiency.
- Support new hire onboarding logistics (equipment, office setup, schedules).
Franchisor Relations & Portfolio Management
- Serve as a point of contact for franchisor partners, responding to requests and maintaining ongoing communication.
- Collect, organize, and maintain current franchisor information including FDDs, brochures, marketing collateral, and program updates.
- Track franchisor updates and ensure all materials remain accurate and accessible.
- Facilitate onboarding for new franchisors entering our portfolio, including documentation gathering and system entry.
- Build strong working relationships with franchisors to ensure smooth collaboration and timely updates.
Brokerage Team Support
- Prepare brand presentation decks, summaries, and supporting materials for calls and presentations.
- Assist with scheduling brand presentations, discovery calls, and franchisor meetings.
- Maintain and update internal systems and shared drives with franchisor details and changes.
- Support management of franchisor resale opportunities by collecting documentation, preparing resale summaries, and updating listings.
Documentation, Collateral, & Data Management
- Maintain organized digital filing systems for franchisor data, executive documents, and operational materials.
- Update internal documents, brand overviews, and content whenever franchisors provide new information.
- Ensure version control and consistency across all shared materials.
Requirements:
- 3–5 years of administrative, executive assistant, or account coordination experience.
- Strong organizational skills with the ability to manage multiple priorities and stakeholders simultaneously.
- Excellent written and verbal communication skills.
- Relationship-oriented with strong follow-through and attention to detail.
- Proficient in Google Workspace, CRM systems, and shared drive organization.
- Ability to handle confidential information with discretion.
- Experience in franchising or professional services
This is a hybrid/remote position based out of Orlando, FL.
Compensation:
- $55,000 - $75,000 annually based on experience
