About The Role
We are seeking a reliable and detail-oriented Legal Assistant with practical experience using Clio, a popular legal case management software. In this role, you will support attorneys and paralegals by handling administrative tasks, client communication, and workflow management. The position is designed for individuals who thrive within structured systems, excel at organization, and enjoy contributing to a cohesive legal team environment. As a key member of our remote team, you will be responsible for maintaining case files, supporting client intake processes, managing calendars, and assisting with billing and document organization. This role offers the opportunity to work closely with experienced legal professionals while enjoying the flexibility of remote work. You will be supported by Equivity’s internal operations team and leadership, ensuring you have the resources needed to succeed and grow within the organization.
Qualifications
- At least 1 year of experience in a legal administrative, legal assistant, or litigation support role
- Hands-on experience using Clio in a legal setting
- Completed bachelor’s degree or equivalent
- Minimum availability of 20 hours per week to start
- Ability to work independently and manage multiple cases simultaneously
- Strong attention to detail and excellent communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat
- Windows-based computer preferred
- Availability and responsiveness within 1 hour during standard business hours (9:00 AM - 6:00 PM)
Responsibilities
- Assist with setting up and maintaining matters within Clio or other case management systems, including updating contacts, notes, tasks, and documents
- Support client intake workflows by scheduling consultations, sending engagement agreements, and ensuring collection of required information and documents
- Manage calendars, schedule meetings and deadlines, and track important dates to ensure timely case progression
- Help maintain task lists and workflows to support ongoing legal matters
- Communicate with clients to gather information, provide updates, and ensure a professional client experience
- Support billing processes by entering time, generating invoices, and assisting with administrative tasks
- Upload, organize, and maintain legal documents within firm systems
- Assist with email management, drafting routine correspondence, and routing communications appropriately
- Track next steps and follow up on outstanding items to ensure case milestones are met
- Contribute to operational support by maintaining organized systems and supporting day-to-day practice activities
