The Executive Assistant role owns executive administration and enablement as the Executive Head's right hand: managing their diary, correspondence, travel and personal administration, anticipating their needs, and protecting their time and attention for high-leverage work. The role handles the Executive Head's commitments and relationships with exceptional professionalism, efficiency and discretion, and acts as a central point of coordination with the leadership team, teams across the organisation and external stakeholders, so that logistics never become a bottleneck to leadership effectiveness.

WHAT WE'RE LOOKING FOR?

  • Minimum Matric/Grade 12.
  • Relevant tertiary qualification e.g. Business Administration, Management or similar.
  • 4-6 years proven experience as an Executive Assistant or Personal Assistant supporting senior executives; C-suite or senior executive exposure is an advantage.
  • Advance proficiency in MS Office/Google Workspace.
  • Experience in a fast-paced, complex, multi-stakeholder environment.
  • Experience managing complex diaries, travel and stakeholder relationships at senior level.

WHAT YOU WILL BE DOING?

  • Provide full executive support, ensuring seamless day-to-day operations, anticipating the Executive Head's needs and resolving issues before they escalate.
  • Manage personal appointments and commitments alongside the executive diary to avoid clashes.
  • Own and manage the Executive Head's calendar, including scheduling, rescheduling and prioritising meetings in line with business demands.
  • Coordinate meetings with internal and external stakeholders, confirming purpose, participants and required outcomes with the meeting owner.
  • Act as an extension of the Executive Head in interaction with internal and external stakeholders, maintaining a high level of professionalism, confidentiality and diplomacy.
  • Help build and maintain practical tools for the Office of the Executive, such as trackers, templates and checklists, and keep them up to date.

WHO YOU ARE?

  • Have a deep understanding of executive office operations and how decisions are made at senior leadership level.
  • Have a strong problem-solving and systems thinking.
  • Understand the organisation’s strategy, key priorities and value drivers and use this to triage requests, meetings and engagements.
  • Have excellent written and verbal communication skills, with the ability to draft clear, concise and professional correspondence on behalf of the Executive.
  • Takes ownership of tasks and outcomes, working independently with minimal supervision.
