Role Overview

Emotiv is seeking an exceptional Executive Assistant to provide high-level, comprehensive support to our CEO, Tan Le.

This is a highly trusted role at the center of a fast-moving, globally distributed neurotechnology company. The Executive Assistant will help maximize the CEO’s effectiveness by managing a complex calendar, coordinating international travel, preparing communications and briefing materials, maintaining strong follow-through across priorities, and ensuring that the CEO is focused on the matters where her involvement has the greatest impact.

The ideal candidate is exceptionally organized, proactive, discreet, and comfortable operating in an environment where priorities can change quickly. They must be able to anticipate needs, exercise sound judgment, communicate confidently with senior stakeholders, and bring structure and clarity to a demanding executive schedule.

This role requires more than traditional administrative support. The Executive Assistant will act as an extension of the CEO’s office, helping coordinate across leadership, investors, strategic partners, customers, media, event organizers, advisors, and other important stakeholders. They must be able to distinguish what is urgent from what is important, identify emerging conflicts or gaps, and ensure decisions and commitments are followed through to completion.

Candidate RequirementsExperience


● At least five years of experience supporting a CEO, founder, senior executive, board member, or similarly demanding executive role.

● Experience working in a high-growth technology, startup, deep-tech, healthcare, research, or globally distributed organization is strongly preferred.

● Demonstrated experience managing complex calendars and international travel across multiple time zones.

● Experience supporting senior external relationships, including investors, board members, strategic partners, customers, media, or public-event organizers.

● Experience operating in an environment with rapidly changing priorities and limited administrative infrastructure.

Communication


● Exceptional written and verbal communication skills.

● Strong business judgment and the ability to draft polished, executive-level correspondence.

● Ability to adapt communications to different audiences, including employees, executives, investors, researchers, partners, customers, media, and event organizers.

● Ability to capture complex discussions and convert them into clear decisions, action items, and follow-up.

● Confidence communicating with senior and high-profile stakeholders while remaining professional, warm, and appropriately direct.

● Ability to manage multiple priorities, deadlines, and stakeholders without losing follow-through.

● Sound judgment regarding urgency, confidentiality, tone, and appropriate stakeholder involvement.

● Ability to represent the CEO and Emotiv professionally in every interaction.

● Willingness to ask thoughtful questions when necessary while avoiding unnecessary escalation or process.

Technology and Tools


● Advanced proficiency with Google Workspace, including Gmail, Calendar, Docs, Sheets, Slides, and Drive.

● Experience with Slack, Zoom, Microsoft Office, expense-management platforms, electronic signature tools, and modern project-management systems.

● Familiarity with QuickBooks or similar accounting software is preferred.

● Comfortable adopting new productivity, scheduling, transcription, research, and AI-assisted tools.

● Strong document-formatting and presentation-preparation skills.

● Ability to maintain secure and organized digital files and communications.

Working Expectations

Because Emotiv operates globally and the CEO regularly engages with stakeholders across North America, Europe, Asia, and Australia, some schedule flexibility will be required. The role may occasionally involve early-morning or evening coordination, urgent travel changes, and support surrounding major company events, investor activity, media appearances, or international engagements.

This role requires responsiveness, but it also requires the ability to establish effective systems, anticipate periods of increased demand, and create sustainable operating practices for the CEO’s office.

Occasional domestic and international travel may be required.

Success in this role will be reflected in:

● Fewer scheduling conflicts, missed commitments, and last-minute information gaps.

● Smooth execution of travel, speaking engagements, board meetings, investor activities, and major events.

● Timely escalation of important issues without unnecessary involvement of the CEO in matters that can be resolved elsewhere.

● Increased clarity, responsiveness, and operational effectiveness within the CEO’s office.

● Complete trust in the Executive Assistant’s discretion, judgment, reliability, and representation of the CEO.
