Executive Assistant - *Remote*
Compassion & ChoicesThe Executive Assistant provides high-level administrative, operational, and strategic support to the President/Chief Executive Officer, helping protect executive capacity and ensure organizational priorities are effectively coordinated and advanced. This position manages complex scheduling, executive communications, meeting preparation and follow-up, travel, briefing materials, and other activities requiring a high degree of organization, judgment, discretion, and initiative.
Serving as a trusted partner to the President/CEO, the Executive Assistant works closely with senior leaders and cross-functional teams to communicate priorities, coordinate information, track decisions and commitments, and help ensure leadership decisions are translated into timely action. The position requires exceptional attention to detail, confidentiality, responsiveness, and the ability to anticipate needs and maintain productive relationships in a fast-paced executive environment.
This is a full-time, remote position. The starting salary range is $80,000–$90,000 annually. The final salary offered will be based on relevant experience, qualifications, internal equity, and organizational considerations.

This position will primarily be responsible for:
- Manage the President/CEO’s complex calendar, including meetings, travel, events, and competing priorities, while anticipating scheduling needs and conflicts and ensuring effective use of executive time.
- Prepare, edit, organize, and manage executive correspondence, reports, presentations, briefing materials, agendas, and other documents. Ensure the President/CEO is appropriately prepared for internal and external meetings and engagements.
- Serve as a central coordination and communication resource for the President/CEO, helping ensure priorities, decisions, requests, and relevant context are communicated to appropriate stakeholders in a timely and professional manner.
- Coordinate leadership meetings by developing agendas, gathering and preparing materials, documenting decisions and action items, and facilitating appropriate follow-up.
- Track decisions, commitments, projects, and action items arising from executive and leadership meetings and follow up with responsible parties to support accountability and timely completion.
- Coordinate executive travel arrangements, itineraries, meeting logistics, and related documentation while maintaining accurate and organized executive records and materials.
- Handle sensitive and confidential information with a high degree of discretion, judgment, professionalism, and accuracy.
Additional Responsibilities
- Support strategic initiatives by conducting research, coordinating information, tracking action items, and monitoring established milestones and deliverables.
- Anticipate executive needs and proactively identify administrative, scheduling, communication, and coordination issues requiring attention.
- Develop and maintain administrative systems, workflows, and processes that improve executive efficiency and organizational follow-through.
- Coordinate logistics for executive, leadership, board, and organizational meetings and events as assigned.
- Serve as a professional point of contact for internal and external stakeholders engaging with the Office of the CEO.
- Support preparation for public engagements, presentations, organizational meetings, and other activities involving the President/CEO.
- Support organizational and fundraising efforts as requested and complete required administrative, expense, and credit card documentation accurately and on time.
- Participate in organizational meetings, retreats, trainings, and other cross-functional activities and perform other duties as assigned.
Supervisory Responsibilities
No direct supervisory responsibilities.
The Executive Assistant may provide administrative coordination and functional support to staff, vendors, or other individuals involved in activities managed through the Office of the CEO but does not have formal personnel-management responsibilities
Preferred Qualifications (You Will Be a Good Fit):
Education and Experience
- Bachelor’s degree or an equivalent combination of relevant education and professional experience required.
- Minimum of 3–5 years of progressively responsible executive or senior-level administrative support experience, including experience directly supporting a senior executive or C-suite leader, preferably at a nonprofit organization or law firm.
- Demonstrated experience managing complex executive calendars, meetings, travel arrangements, correspondence, and competing priorities.
- Experience preparing executive-level meeting materials, reports, presentations, briefings, and professional correspondence.
- Experience coordinating across senior leaders, departments, and external stakeholders in support of organizational priorities.
- Experience tracking executive decisions, commitments, action items, and organizational follow-through.
- Experience in a nonprofit, healthcare, legal, advocacy, or other mission-driven environment is strongly preferred.

- Flexibility to respond to time-sensitive executive needs outside standard working hours when reasonably required
Professional Knowledge
The successful candidate should have advanced knowledge of or experience working with:
- Google Workspace
- Microsoft Office Suite
- Adobe Acrobat
- Virtual meeting and collaboration platforms
- Calendar and scheduling tools
- Technology used to support executive operations
- Project-management platforms and tools used to track assignments, decisions, and organizational follow-through are preferred
Certificates, Licenses, and Registrations
No professional certification or license is required.
Professional certifications related to executive administration, project management, business operations, or organizational management are preferred but not required
Travel
Must be able and willing to travel up to 10% of the time, including overnight and occasional weekend travel, for board meetings, organizational meetings and retreats, executive engagements, and other business-related activities as needed.
