Executive Assistant to the CEO Location: Abu Dhabi, ADGM Working Arrangement: Remote Function: Governance & Corporate Operations Reporting to: Chief Executive Officer Role Purpose The Executive Assistant provides high-level calendar management, correspondence support and office administration to the Chief Executive Officer. The primary purpose of the role is to protect the CEO's time, ensuring it remains focused on strategy, capital raising, Board matters and key external relationships. The Executive Assistant will act as the central coordination point between the CEO's office, the wider organisation, investors and external counterparties. Why This Role, Now The organisation has recently expanded its executive management team and is building the operating platform required to support its next stage of growth. The business is digitalising its operations through a governed document-management system, a centralised action register and a scalable, automated operating model supporting a deliberately lean team. This position forms part of the continued development of that platform and is not a replacement role. Key Responsibilities CEO Office Management Calendar and scheduling management Manage the CEO's calendar and scheduling from end to end across multiple time zones and competing priorities. Take ownership of the diary, proactively managing priorities rather than simply recording appointments. Meeting coordination Arrange meetings and manage all associated logistics, including agendas, meeting papers, preparation requirements and follow-up actions. Statutory Board minute-taking is excluded and remains the responsibility of the Company Secretarial function. Travel management Coordinate domestic and international travel from end to end, including flights, accommodation, visas, itineraries and UAE residency-related requirements. Correspondence and inbox support Triage the CEO's inbox, prioritise important communications and draft routine correspondence for the CEO's review. Ensure that important matters are identified, followed up and responded to promptly. Stakeholder coordination Act as a professional and reliable first point of contact for investors, portfolio companies, advisers and counterparties engaging with the CEO's office. Coordination and Administration Document and file management Maintain non-statutory documents and files in accordance with the organisation's document-control standards. Ensure information is accurate, appropriately stored and immediately accessible when required. General office administration Manage the day-to-day administration of the CEO's office and maintain effective systems for tracking priorities, commitments and follow-up actions. Cross-functional coordination Coordinate with executive management and the wider team to ensure information, decisions and action items are communicated and completed on time. Ad hoc executive support Provide additional support as required by the CEO within a small, fast-moving and collaborative organisation. Candidate Profile Experience Approximately 3–6 years' experience supporting a CEO or other C-suite executive. Experience within financial services, professional services, private equity, venture capital, investment management or a similar environment is preferred. Experience working in a regulated or investor-facing organisation will be highly regarded. Demonstrated experience managing complex calendars, international travel and senior external stakeholders. Core Skills Exceptional calendar, scheduling and priority-management capabilities. Ability to anticipate requirements and work ahead of the CEO's diary. Strong stakeholder and relationship-management skills. Highly disciplined document, records and file management. Excellent written and verbal English. Strong drafting, proofreading and correspondence-management skills. High attention to detail and consistent accuracy. Confidence working with digital systems, remote collaboration tools and automated workflows. Ability to manage multiple priorities across different time zones. Personal Attributes Friendly, professional, discreet and unflappable. Proactive, dependable and highly organised. A practical problem solver who identifies gaps and takes ownership of resolving them. Collaborative and willing to support colleagues outside the immediate scope of the role. Comfortable working within a lean and rapidly developing organisation. Able to exercise sound judgement when handling confidential and commercially sensitive information. Working Style This is a remote position requiring a high degree of independence, accountability and visibility. The successful candidate must be able to manage the CEO's office effectively from a distance, communicate proactively and coordinate priorities across multiple time zones. The candidate must be available during core Gulf Standard Time working hours and be willing to travel periodically to Abu Dhabi when required. Confidentiality The position will have access to sensitive Board, investor, portfolio company and transaction-related information. Absolute discretion and strict compliance with confidentiality, information-security and record-keeping requirements are essential conditions of the role.
