THE ROLE: EXECUTIVE ASSISTANT TO CEO
The Executive Assistant to the CEO is a trusted partner who protects the CEO’s time, anticipates needs, coordinates leadership and Board activity, and ensures commitments move forward. This role combines excellent executive administration with business judgment, discretion, and proactive follow-through. The EA serves as a central point of coordination for the CEO, helping ensure priorities are organized, communication is clear, and the CEO is prepared and supported to operate effectively.
KEY RESPONSIBILITIES:
EXECUTIVE SUPPORT
- Proactively manage the CEO’s complex calendar and scheduling, balancing business priorities, preparation time, travel, and internal/external commitments. Provide appropriate support with email organization and follow-up as requested.
- Anticipate the CEO’s needs and ensure appropriate materials, context, agendas, and logistics are prepared in advance of key meetings and commitments.
- Seamlessly manage logistics and strategic coordination of meetings across multiple locations and time zones.
- Provide project and administrative support for internal operational initiatives that drive efficiency, organization, and accountability.
- Coordinate project management, communication, and follow-up for CEO-directed initiatives, ensuring owners, timelines, and next steps are clearly tracked.
- Manage travel arrangements with impeccable attention to detail (cost, comfort, and productivity).
- Prepare both routine and confidential spreadsheets, reports, presentations and other complex documents in Excel/PowerPoint; Research and aggregate/consolidate information into summary reports.
- Reconcile credit card statements and submit expense reports for the Executive as well as manage other related budgets/expenses.
- Host executive’s visitors, clients and vendors.
- Perform administrative work responsibly and in a timely manner, exercising considerable independence and sound judgment in making decisions.
- Ensure the executive(s) has appropriate meals planned, tackling everything from delivery/pick-up to reservations.
LEADERSHIP TEAM (LT) + BOARD
- Coordinate and attend LT meetings; manage agendas and meeting materials, capture key decisions and action items, and track follow-up with accountable owners.
- Coordinate Board meetings and events, including scheduling, meeting materials, presentations, logistics, and communication with Board member EAs regarding travel and meeting coordination.
- Plan, execute, and manage agenda for all LT off-sites.
- Maintain strong working relationships across the Leadership Team and proactively flag scheduling, communication, or coordination issues that may require the CEO’s attention.
CULTURE
- Manage all Company Offsite planning, including site selection, meal/activity planning, logistics and budget, in conjunction with P&E and Culture Club.
- Partner with P&E and Culture Club to support company events, culture initiatives, and employee experiences, with a focus on planning, coordination, logistics, and execution.
THE CANDIDATE
Candidates must be passionate, organized, and love developing personal care, grooming, or skin care products. This person is highly organized and detail-oriented, with excellent communication skills. While this candidate loves timelines and getting organized, this person has a remarkable ability to remain calm and flexible in the fast-paced, changing world of product development in a high-growth environment. The ideal candidate will be an intelligent team player – someone approachable with a positive, innovative and professional attitude who works smarter, not harder and takes on a “sleeves-rolled-up” and a “can-do” attitude when faced with challenges. A true ambassador for EMJ, both internally and externally.
CAPABILITIES & SKILLS REQUIRED:
- 5–8 years of relevant experience supporting C-level executives, with demonstrated ownership of complex calendars, communications, travel, and meetings.
- Exceptional organization, attention to detail, and ability to prioritize competing needs under changing conditions.
- Strong written, verbal, and listening skills; professional presence with internal and external stakeholders.
- Demonstrated ability to anticipate executive needs, prioritize competing demands, exercise sound judgment, and consistently follow through without requiring significant oversight.
- Business acumen and curiosity, with the ability to connect daily activity to company priorities and decisions.
- Excellent discretion and experience handling confidential business, Board, and personnel information.
- High emotional intelligence and diplomacy; ability to clarify or appropriately challenge requests while maintaining relationships.
- Proven ability to coordinate projects, keep owners accountable, solve problems, and meet deadlines.
- Proficiency with productivity and collaboration tools, including Google Workspace, Microsoft Office, and Zoom.

- Location: Mill Valley, CA (Hybrid: Mon/Tues/Thurs in Office, Wed/Fri Remote)
- Hours: Full Time, Exempt, Salaried
