TALLADEGA COLLEGE Executive Assistant to the Board of Trustees Office of the President Position Type: Part-Time – Approximately 20 Hours per Week Work Arrangement: Primarily Remote with Required On-Campus Attendance Location: Talladega, Alabama Compensation: $35 - $45 per hour /commensurate with education, qualifications, and experience Position Overview Talladega College invites applications for the position of Executive Assistant to the Board of Trustees within the Office of the President. This highly visible and confidential position provides executive-level administrative and governance support to the Talladega College Board of Trustees and serves as an important liaison among the Board Chair, trustees, Board committees, President, senior leadership, and other appropriate institutional stakeholders. The Executive Assistant will play a central role in supporting the effective and efficient operation of the Board by coordinating meetings and governance activities, preparing and maintaining Board materials and official records, facilitating timely communications, monitoring Board-related assignments and deadlines, and providing exceptional administrative support to the Board Chair and trustees. The successful candidate will be a highly organized, responsive, detail-oriented professional who demonstrates exceptional judgment, discretion, professionalism, and the ability to work effectively with executive-level stakeholders. Reporting Relationship The Executive Assistant to the Board of Trustees is an employee of Talladega College and serves administratively within the Office of the President. The position reports administratively to the President and Chief of Staff while providing dedicated administrative and governance support to the Chair of the Board of Trustees, members of the Board, and Board committees in carrying out official Board business. Key Responsibilities The Executive Assistant will:  Provide executive-level administrative and governance support to the Board Chair and members of the Board of Trustees.  Coordinate quarterly Board meetings, committee meetings, retreats, special meetings, and other official Board activities.  Assist with preparing and distributing agendas, meeting packets, reports, resolutions, minutes, presentations, and other governance materials.  Maintain official Board records, minutes, resolutions, committee records, governance archives, trustee directories, calendars, and confidential files.  Track Board actions, assignments, committee activities, deadlines, and required follow-up.  Facilitate timely and professional communications among trustees, the Office of the President, senior leadership, and other appropriate stakeholders.  Support Board and committee chairs with scheduling, meeting preparation, correspondence, and other administrative needs.  Support trustee onboarding and orientation activities.  Coordinate trustee travel, lodging, meeting accommodations, and related logistics, as appropriate.  Coordinate virtual and hybrid Board and committee meetings.  Prepare, edit, proofread, format, and securely manage executive and governance documents.  Maintain appropriate version control and confidentiality of Board materials.  Coordinate secure electronic distribution of materials through the College's designated Board governance platform.  Utilize Microsoft 365, Adobe Acrobat Pro, SharePoint, OneDrive, electronic signature platforms, Board governance software such as OnBoard, and other relevant technologies.  Work collaboratively with the Office of the President and other College offices to obtain information and materials necessary for Board business.  Exercise exceptional discretion when handling confidential institutional, personnel, financial, legal, and governance matters.  Perform other Board governance and executive administrative responsibilities as assigned. Required Qualifications  Bachelor's degree from an accredited institution.  Minimum of three (3) years of progressively responsible experience in executive administrative support, governance support, executive operations, or a closely related area.  Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams.  Experience with Adobe Acrobat Pro, SharePoint, OneDrive, virtual meeting platforms, electronic signature software, or comparable technologies.  Exceptional organizational, writing, editing, proofreading, and document-preparation skills.  Demonstrated ability to manage multiple priorities and meet time-sensitive deadlines.  Demonstrated ability to exercise sound judgment and maintain strict confidentiality.  Excellent interpersonal and professional communication skills.  Ability to work independently with minimal supervision while maintaining a high degree of responsiveness and accountability. Preferred Qualifications  Master’s degree.  Previous experience supporting a Board of Trustees, Board of Directors, executive committee, senior executive, or comparable governing body.  Experience working in higher education, nonprofit governance, or another complex executive environment.  Familiarity with institutional governance practices, Board policies, committee structures, meeting protocols, and official recordkeeping.  Experience with Board governance software such as OnBoard or a comparable platform.  Experience coordinating executive-level meetings, retreats, travel, and activities involving senior stakeholders. Ideal Candidate The ideal candidate will be an experienced executive administrative professional who understands that supporting a governing board requires more than traditional administrative skills. Work Schedule and Availability This is a part-time position averaging approximately 20 hours per week and is primarily remote. The successful candidate must be available to attend quarterly meetings of the Talladega College Board of Trustees, Board retreats, and other designated governance activities on campus. Quarterly Board activities may require approximately three to four consecutive days of on-campus availability. Occasional evening and weekend work will be required in connection with Board meetings, retreats, special meetings, and other institutional activities. Flexibility and responsiveness to time-sensitive Board matters are essential.
