Join Wayside in a pivotal role at the centre of the organisation, providing high-level support to the CEO/Pastor and helping ensure the smooth operation of the Executive Leadership Team and Board.

As Executive Assistant, you'll oversee executive and governance processes, manage competing priorities, coordinate key organisational activities and help drive decisions through to action. This is an influential role for a highly organised professional who thrives in a fast-paced environment and enjoys working closely with senior leaders and stakeholders.


ABOUT THE ROLE

  • Provide high-level executive support to the CEO/Pastor, ensuring their time, priorities and commitments are effectively managed.
  • Act as a trusted partner to the CEO/Pastor, anticipating needs and coordinating meetings, briefings, correspondence and key activities.
  • Manage complex calendars, stakeholder communications and confidential matters with discretion and professionalism.
  • Coordinate Board and Committee processes, including meeting preparation, papers, minutes and action tracking.
  • Support strong governance practices by maintaining accurate records, documentation and reporting processes.
  • Coordinate Executive Leadership Team (ELT) meetings, monitor follow-up actions and help drive organisational accountability.
  • Build and maintain positive relationships with internal and external stakeholders, partners and supporters.
  • Lead and coordinate projects on behalf of the CEO/Pastor, including research, reporting and strategic initiatives, as required.
  • Oversee administrative systems, records management, travel arrangements and financial reconciliations for the Office of the CEO.
  • Identify risks, resolve competing priorities and help ensure key organisational decisions and commitments are delivered.

ABOUT YOU

  • Proven experience providing high-level executive support to a CEO, Managing Director or equivalent senior leader, ideally including Board support.
  • Exceptional organisational skills with the ability to manage competing priorities, complex schedules and tight deadlines.
  • Strong written and verbal communication skills, with experience preparing correspondence, reports, briefings, agendas and meeting minutes.
  • Highly professional and discreet, with sound judgement when handling sensitive and confidential information.
  • Skilled at building trusted relationships with senior leaders, Board members and a wide range of internal and external stakeholders.
  • Strong working knowledge of Microsoft Office.
