Are you a high-level executive administration professional ready to play a critical role supporting senior leadership and driving operational efficiency in a dynamic, purpose-driven organisation?

The Healthy Communities Foundation Australia (HCFA) is looking for a highly capable governance and executive professional who can manage Board and committee secretariat functions, support the CE, coordinate organisational projects, prepare high-quality written materials including Board papers and grant submissions, and act as the central point of coordination across the executive leadership team

In this pivotal position, you will provide high-level governance and secretariat support to the Board of Directors and Board Committees, working closely with the Chief Executive in their capacity as Company Secretary.

You will serve as the engine room of the Chief Executive office, delivering advanced executive administration, managing executive workflows, leading corporate governance, and supporting key strategic priorities to help transform health outcomes across rural, regional, and remote communities.

What The Role Offers

  • Provide advanced administrative support to the CE, manage executive calendars, triage email communications, coordinate travel logistics, draft high-priority correspondence, and manage executive office operations.
  • Oversee administration operations for the CE, Executive Management Team, and Executive General Managers/Directors across clinical governance and primary care streams.
  • Coordinate Board and Subcommittee agendas and meeting papers, minuting meetings, and overseeing statutory compliance. (Full training and professional development will be provided for the right candidate.)
  • Lead cross-functional projects, conduct complex research, draft high-level submissions, and facilitate relationship management with key stakeholders and philanthropic partners.
  • Coordinate governance and strategic planning cycles, ensuring timely completion of actions arising from Board, Committee and Executive meetings.
  • Predominantly work from home anywhere in NSW (Monday to Friday) with required domestic travel (air/road) as needed.

Role

We are seeking values-driven individuals with a deep passion for rural, remote, and regional health, alongside a master-level command of executive administration, executive support, and non-profit governance. To be successful in this role, you will possess:

  • 5+ years of experience as an Executive Officer, Senior Executive Assistant, or Senior Governance Officer supporting senior executives and Boards.
  • Advanced executive support skills, including diary management, travel logistics, document drafting, proofreading, document quality control, and executive workflow coordination.
  • Proven track record or strong interest in corporate governance, statutory compliance, and executive secretariat functions (acting Company Secretary experience or Governance Institute of Australia training is highly regarded, with further training and professional development provided).
  • Demonstrated ability to conduct research, synthesise complex information, and prepare high-level briefing notes, policy papers, and strategic submissions.
  • Exceptional communication, negotiation, and influencing skills to build effective relationships with internal and external stakeholders at all levels.
  • Strong organisational and project leadership skills to coordinate cross-functional teams and manage competing priorities.
  • Advanced proficiency in Microsoft Office Suite, administrative systems, and executive data reporting.
  • An understanding of philanthropy, non-profit governance, and the charitable sector, with a commitment to advancing positive community outcomes.
  • Ability to establish and coordinate organisational projects, monitor milestones and support Executive Managers to achieve strategic objectives
  • Exceptional written communication skills with demonstrated experience preparing Board papers, executive reports, submissions, funding applications, briefing papers and stakeholder correspondence
