Role Description The Facilities Specialist role at Asociación Española de Empleo con Apoyo - AESE is a part-time, remote position focused on supporting the effective management of the organization’s physical and digital work environments. This role involves coordinating facility-related activities, tracking maintenance needs, and supporting basic construction or refurbishment projects in collaboration with external providers. The Facilities Specialist will manage documentation and records, assist with administrative tasks, and help develop and deliver training materials related to facility use, safety procedures, and workplace standards. Day-to-day responsibilities include monitoring facility performance indicators, preparing reports, updating schedules, and using productivity tools to support communication with internal teams and vendors.

- Demonstrated skills in Facility Management (FM), including coordination of maintenance, space planning, and oversight of service providers.
- Experience in Training related to workplace safety, facility procedures, or user guidelines, with the ability to create clear instructional materials.
- Proficiency in Administration tasks such as record-keeping, scheduling, documentation, and vendor communication.
- Basic understanding of Construction or refurbishment processes to coordinate minor works and liaise effectively with technical professionals.
- Strong command of Microsoft Office (e.g., Word, Excel, PowerPoint, Outlook) for reporting, data tracking, and communication.
- Excellent organizational and time-management skills, with attention to detail and the ability to prioritize in a remote, part-time setting.
- Effective written and verbal communication skills, with a collaborative approach to working across teams and with external partners.
- Previous experience in facilities, property management, or operations support is preferred; vocational or higher education in a related field is an asset.
