The Financial Aid Systems Administrator position is essential to supporting compliant and accurate financial aid processing and system operations. The position supports the implementation of all federal financial aid changes and updates, including those introduced under OB3, and ongoing federal financial aid compliance. This role supports Financial Aid Systems processing related to both federal and private education loan programs, ensuring accurate aid awarding and disbursement.
This position works closely with the Director of Financial Aid Systems, Associate Director of Financial Aid Systems, and Associate Director of Compliance to support financial aid processing, systems operations, cleanup, reconciliation, and the annual audit. Responsibilities include working closely with the Title IV Loans and Grants Specialist, loan application processing, resolving discrepancies, managing and training staff on Loan Schedule of Reduction requirements, and supporting the centralization of aid review processes within the Financial Aid Systems team.
Position Duties
- Monitor and manage loan proration and repackaging to ensure compliance with federal regulations.
- Process and manage PLUS and alternative loan applications, including lender coordination.
- Review and resolve Loan Limits C-Flag issues and ensure adherence to federal borrowing limits.
- Run and analyze critical compliance reports, including: Load Level Report, Over-Award Report, Unpaid Aid Report, and Federal Aid Cleanup Report.
- In collaboration with the Title IV Grants and Loan Specialist, maintain Federal Direct Loan and PLUS legacy provisions, including ongoing eligibility and usage tracking.
- Identify, investigate, and resolve discrepancies to prevent over-awards and aid miscalculations.
- Perform timely review of student records identified for financial aid adjustments, discrepancies, or other required action
- Serve as backup for Common Origination and Disbursement (COD) daily processing, ensuring accurate origination and disbursement reporting.
- Support annual system setup and year-end cleanup to align with new federal aid cycles and regulatory updates.
- Assist the Director of Financial Aid Systems and the Associate Director of Financial Aid Systems with internal and external audits, including documentation, reconciliation, and issue resolution.
- Monitor regulatory updates and implement system/process changes required for federal compliance.
- Provide basic training and process guidance to Financial Aid staff on system procedures, loan processing requirements, and process changes.
- Performs other such duties as may be assigned from time to time.
Supervision Exercised
No direct supervisory responsibilities. However, this position must exercise independent judgment daily and has functional responsibility for assigned daily operations and should be able to provide guidance and basic training to staff.
Position Qualifications
- High School degree required, Bachelors degree highly preferred.
- Strong computer skills.
- Strong problem-solving, analytical, and organizational skills are a must.
- Ability to maintain confidentiality, be detail-oriented, exercise sound judgment, and act with initiative.
- Excellent communication (oral and written) and interpersonal skills in all media (telephone, in-person, and e-mail) are required. Ability to present and explain technical or financial aid information to counselors.
- This position also requires someone with enough technical experience to complete basic computer troubleshooting independently.
- Financial Aid experience strongly preferred, with knowledge of federal aid programs highly desirable.
- Ellucian Banner experience preferred.
Work Hours
Monday through Friday, 9:00 a.m.–5:00 p.m., with additional hours as needed. This is a remote position; however, with advance notice, staff must be able to assist/travel to the NYC, Pleasantville, and White Plains campuses for training, events, or on-campus coverage, as needed.
