Financial Operations Manager

Dallas, TX

About the role

This role leads end-to-end financial operations for a single client, ensuring billing, reconciliations, commitments, debits, co-op activity, and supporting documentation are completed accurately, on time, and in compliance with client and agency requirements. The position oversees invoice readiness and media financial controls by validating billing support, reconciling vendor and client transactions, resolving discrepancies, and coordinating closely with account, creative, media, trafficking, and finance teams to maintain operational continuity and reduce financial risk. It monitors budgets, pacing, balances, and spend performance, produces clear financial reporting and analysis, and supports month-end close through accurate accruals, approvals, and audit-ready documentation. The job also provides day-to-day leadership for the billing team by coaching staff, managing workloads, strengthening processes and controls, and promoting a collaborative, accountable environment grounded in agency values.

What you'll do

  • Own financial operations delivery for Client programs — Lead day-to-day financial operations across client-related projects, media activity, and co-op programs by ensuring billing, reconciliations, commitments, debits, and supporting documentation are completed accurately, consistently, and on schedule. Coordinate activities across Account Management, Creative, Media Operations, Trafficking, and Finance to maintain operational continuity and client readiness.
  • Own billing quality, controls, and client invoice readiness — Oversee agency-to-client billing processes, including Tier 3/KTC billing activity, by validating billing support, reviewing invoice accuracy and completeness, ensuring compliance with established procedures, and confirming all deliverables meet agency and client standards before submission. Investigate discrepancies and partner with stakeholders to resolve issues quickly and effectively.
  • Manage media invoice review and reconciliation activities — Direct the review and reconciliation of media vendor invoices, authorizations, placements, costs, and flight dates to ensure charges align with approved media plans and budgets. Coordinate resolution of discrepancies with project teams and vendors while supporting month-end accruals and financial close activities through accurate and timely reconciliation of media-related expenses.
  • Administer co-op programs and tiered contract financial processes — Manage financial operations associated with co-op funding programs and tiered contract structures by monitoring commitments, debits, balances, advertising activity, and supporting documentation. Review participant activity, reconcile transactions, identify discrepancies, and ensure compliance with client and partner program requirements.
  • Own commitments, debits, and exception resolution — Lead the collection, validation, submission, and reconciliation of commitments and debit activity across applicable tiers. Investigate rejected transactions, system "kickouts," unapplied debits, and other operational exceptions by identifying root causes, coordinating corrective actions, and driving issues through resolution to minimize financial risk and operational disruption.
  • Monitor budgets, pacing, and financial performance — Track budgets, pacing, co-op utilization, dealer balances, and spend activity against approved plans. Analyze variances, identify funding or billing discrepancies, monitor financial risk, and provide recommendations to support timely corrective action.
  • Produce financial reporting and decision support — Develop, maintain, and distribute recurring and ad hoc financial reports, including debit detail reporting, budget analyses, reconciliation summaries, and operational performance metrics. Present information in a clear and actionable format that supports billing decisions, budget management, discrepancy resolution, and overall account financial performance.
  • Lead month-end close readiness and financial documentation — Coordinate and monitor month-end financial activities by ensuring reconciliations, accrual support, billing documentation, approvals, and financial records are accurate, complete, and audit-ready. Maintain organized documentation that supports internal controls, operational transparency, client requirements, and financial reporting obligations.
  • Coach the team and improve operational effectiveness — Provide day-to-day leadership, training, coaching, workload management, and quality oversight for the billing team. Reinforce standards for accuracy, accountability, documentation, and deadline management while identifying opportunities to streamline workflows, strengthen controls, improve system utilization, and enhance the scalability of financial operations. Maintain and update billing procedures, workflow documentation, and operational standards to support consistency, compliance, and effective onboarding.
  • Model and promote agency values — Demonstrate Humanity, Diversity, Integrity, Tenacity, and Curiosity in interactions with clients, colleagues, vendors, and business partners while fostering a collaborative, inclusive, and accountable work environment.
