The Financial Services Operations Associate supports firm growth and client service by managing client engagement, operational workflows, and administrative processes. This role requires a strong understanding of firm policies and procedures, compliance requirements, and custodial processes.
DUTIES AND RESPONSIBILITIES:
Build and maintain strong client relationships through proactive communication with clients, custodians, CPAs, attorneys, and internal team members.
Onboard new clients by collecting required information, completing firm and custodial paperwork, and updating client records in firm software.
Process client service requests, resolve NIGO items, and provide guidance to clients and team members as needed.
Schedule client meetings and prepare related reports and materials.
Regularly monitor and audit CRM records to ensure client data is accurate, current, and complete.
Answer incoming calls and direct messages to the appropriate team member.
Identify opportunities to improve processes, strengthen best practices, and enhance the client experience.
Other tasks as assigned.
QUALIFICATIONS:
5+ years of Registered Investment Advisor (RIA) or brokerage experience required.
Knowledge of investment terminology and industry language required.
Sophisticated technology skills required, including the ability to work independently in a remote environment, troubleshoot routine technical issues, and effectively use virtual communication, document management, CRM, and workflow platforms.
Bachelor’s degree in Business or a related field preferred.
Experience with custodian paperwork, Wealthbox, ShareFile, DocuSign, and Mailchimp preferred.
Strong computer skills, including proficiency with Microsoft Office products.
Excellent writing, interpersonal, and client service skills.
Detail-oriented with strong organizational skills and the ability to prioritize tasks effectively.

SUPERVISION:
This position does not have direct supervisory responsibilities.
LOCATION:
Hybrid if local to the Bedford, NH office; fully remote otherwise.
