About the Role

We are seeking a safety-driven and highly organized After-Hours Fleet Operations & Maintenance Coordinator to support the operational integrity of our fleet during non-standard business hours.

This role is responsible for responding to emergency maintenance requests, coordinating roadside assistance, monitoring fleet compliance, and ensuring vehicles are prepared for the next business day. The ideal candidate thrives in a fast-paced environment, communicates confidently with drivers, and has experience in transportation, trucking, fleet operations, dispatch, or maintenance coordination.

Key Responsibilities

Fleet Operations & Emergency Response

• Respond to after-hours emergency maintenance and roadside service requests.
• Coordinate repairs and service providers to reduce vehicle downtime.
• Monitor active fleet issues and communicate status updates to drivers and dispatch teams.
• Escalate critical operational concerns when necessary.
• Provide shift updates and communicate delays, vehicle issues, and service activity to daytime operations.

Fleet Maintenance Coordination

• Execute preventive and planned maintenance activities based on priorities established by the Fleet Maintenance Manager.
• Review inspection findings and coordinate corrective actions.
• Monitor maintenance schedules and ensure fleet readiness.
• Track vehicle availability and maintenance status.

Safety & Compliance

• Verify completion of driver vehicle inspections through Fleetio.
• Follow up on non-compliance issues and ensure timely resolution.
• Monitor telematics systems and investigate active fault codes.
• Ensure drivers are properly connected to Electronic Logging Devices (ELDs).
• Support compliance with DOT, FMCSA, and company safety requirements.

Administrative Responsibilities

• Enter and maintain accurate maintenance records in Fleetio.
• Process service documentation and invoices.
• Verify pricing accuracy on maintenance work orders and vendor invoices.
• Maintain detailed records of repairs, inspections, and operational activities.

Required Qualifications

• 6 months to 3 years of experience in fleet operations, transportation, dispatch, maintenance coordination, trucking, logistics, or related fields.
• Experience working directly with drivers, commercial vehicles, or transportation equipment.
• Experience handling operational issues in a fast-paced environment.
• Strong English communication skills (written and spoken).
• Ability to communicate professionally and confidently with drivers and vendors.
• Strong problem-solving and decision-making abilities.
• Excellent organizational and multitasking skills.
• Ability to work independently during after-hours operations.
• Proficiency with technology and operational systems.

Preferred Qualifications

• Previous experience in trucking, logistics, fleet management, or transportation operations.
• Experience as a Dispatcher, Fleet Coordinator, Driver Manager, or Fleet Maintenance Coordinator.
• Experience using Fleetio, Samsara, Motive, Geotab, or similar fleet management platforms.
• Familiarity with FMCSA regulations, DOT requirements, and ELD systems.
• Mechanical, diesel, trucking, commercial driving, or transportation background.
