Job Description
This is a remote position.
Role Overview:
We are seeking a proactive, organized, and hardworking Virtual Assistant to support a growing geofencing marketing company with day-to-day client communication, campaign management, outreach, scheduling, reporting, and administrative tasks.
The ideal candidate is a go-getter with a positive, can-do attitude, strong English communication skills, and experience with cold outreach, lead follow-up, and administrative support. Experience with marketing campaign platforms is a plus, but training will be provided for the company's specific systems.
Scope of Work:
Client & Administrative Support
- Send weekly reporting emails to customers and clients.
- Follow up with clients and customers as needed.
- Monitor and manage scheduling and rescheduling of meetings.
- Identify and follow up on pipeline or scheduling issues.
- Provide general administrative and scheduling support.
- Monitor incoming emails and ensure timely responses during working hours.
- Organize information and follow up on outstanding tasks.
Campaign Setup & Management
- Assist with setting up and managing geofencing marketing campaigns.
- Work with the company's data providers and campaign systems.
- Use Simplify to assist with campaign setup, payments, and related processes.
- Follow established processes and procedures for campaign creation and management.
- Learn and apply the company's campaign setup workflow. Training and instructional videos will be provided as needed.
Outreach & Lead Generation
- Conduct cold email outreach to prospective clients.
- Conduct cold LinkedIn outreach and follow-ups.
- Assist with lead follow-up and pipeline management.
- Make outbound calls and client follow-up calls when needed.
- Handle U.S.-based client calls using an appropriate company-provided dialer.
- Follow up with leads generated through networking and other business development activities.
- Process photos or information from business cards collected at networking events and organize them for follow-up.
Creative & General Support
- Assist with simple marketing creatives and related tasks using Canva.
- Support other ad hoc administrative, marketing, and organizational tasks as needed.
Qualifications:
- Strong written and spoken English communication skills.
- Previous experience with cold outreach, particularly email and/or LinkedIn outreach.
- Comfortable making outbound calls and following up with clients or prospects.
- Highly organized with strong attention to detail.
- Proactive, dependable, and able to work independently.
- A go-getter who takes initiative and follows through on tasks.
- Positive, hardworking, and solutions-oriented attitude.
- Able to manage multiple tasks and priorities.
- Previous experience as a virtual assistant, administrative assistant, sales/outreach assistant, or marketing assistant is preferred.
- Experience with marketing campaign management or similar platforms is a plus.
- Experience with Canva or basic creative work is a plus.
- Willingness and ability to learn new software and processes quickly.
Tools Required, the candidate will work with or be expected to learn:
- Simplify – campaign setup and management
- Canva – basic creative and marketing support
- LinkedIn – prospecting and outreach
- Email – client communication, reporting, and cold outreach
- Company-provided dialer – outbound calls and client follow-ups
- Additional data providers and internal systems as required
Training and access to company systems will be provided.
Shifts & Hours:
- Preferred working hours: 10:00 AM–4:00 PM Pacific Time (PT)
- Schedule is somewhat flexible, but availability during the client's Pacific Time business hours is preferred.
- Starting with a minimum of 10 hours per week.
- Hours may gradually increase based on performance, workload, and business needs
- Potential transition: 15–20 hours/week
- Target schedule: approximately 4–6 hours/day, at least 4 days/week
- The goal is to transition into a more consistent schedule as the VA becomes familiar with the business and additional responsibilities are assigned.
Target Start Date: As soon as possible, ideally within the next week. The hiring timeline may be extended if additional time is needed to identify the best-fit candidate.
