Mandai Nature is the conservation arm of Mandai Wildlife Group and was established with the aim of advancing efforts on biodiversity protection in Singapore and Asia. Job Duties and Responsibilities: The Asian Species Action Partnership (ASAP) is focused solely on the conservation of Critically Endangered land and freshwater vertebrate species (ASAP Species) found in Southeast Asia. The ASAP Secretariat is hosted by Mandai Nature in Singapore and is convened under the IUCN Species Survival Commission. ASAP’s Partnership consists of over 280 organisations, the majority of which are local NGOs in Southeast Asia, working on the frontline of species conservation. ASAP’s 5-year strategy is guided by three areas of intervention: amplifying funding and knowledge; strengthening local organisations to be resilient and successful; investing in people to grow skills, motivation and impact. By providing resources, building connections and empowering teams, ASAP works to catalyse and accelerate conservation for ASAP Species so that threatened wildlife can thrive alongside people and communities. Your opportunity We are seeking a highly organised and collaborative Grants Coordinator to support the delivery of ASAP’s grant programmes. Working closely with the Grants and Evaluations Manager, you will manage databases, track applications and guide applicants through grant processes to ensure efficient, compliant and impactful grant-making. You will take ownership of delegated grants across the full lifecycle, from application through to reporting, while building strong relationships with grantees. This role is ideal for someone who enjoys combining systems and process management with partner-facing work in support of frontline conservation. Job Duties and Responsibilities: Programme design and continuous improvement · Apply agreed changes to grant processes and documents in line with guidance from Grants and Evaluations Manager. · Support the development of project management plans for grants, including budgets, timelines, schedules, participant criteria and communications plans (including impact stories). · Help collect and collate feedback (surveys, interviews and lessons learned) to inform updates to grant criteria and programme design. · Identify and share opportunities to refine and streamline processes, reduce duplication and improve the applicant and grantee experience. Grant applications · Under the direction of the Grants and Evaluations Manager, identify potential new grantees or projects through grant reports and applicant networks. · Receive and log applications across all grants, update databases and file documentation. · Support the assessment of applications against criteria and provide constructive feedback to help applicants strengthen proposals and project design. · Help engage and coordinate external reviewers where needed, consolidating reviews to support suitability decisions and feedback to applicants. Grant execution · Work closely with Programme and Regional teams to build and maintain strong relationships with grantees and respond to routine enquiries. · Track and record how applicants learn about grant opportunities and share insights with Programmes and Communications teams. · Provide applicant information to the Business, Operations and Finance Senior Officer to support due diligence processes and set-up in finance systems. · Maintain accurate grant records in grant databases, including issuing reporting templates and tracking and reporting on grant deadlines. · Ensure governance, risk, policy and records management requirements related to grants are followed and that knowledge is documented and shared. Evaluation and outcomes reporting · Apply evaluation frameworks with grantees to assess outcomes and identify opportunities to improve future grant rounds. · For grants where you act as Relationship Manager, review grantee reports, and provide support, as needed, to the grantee. · Work with the Communications team to share outcomes and impact stories and help translate insights into narratives for visibility and fundraising. · Support consolidation of grant data and the preparation of reports for donors, grantees and organisational reporting. Job Requirements: · Qualifications in conservation/environment or an associated field. · 3 to 5 years of experience working in grant-making or sub-granting, fundraising or planning and delivering field-based conservation (ideally within Southeast Asia) and relationship management. · A good knowledge and understanding for operating grant programmes, best practice and trust-based philanthropy approaches, grant compliance, legal obligations, evaluation and reporting requirements. · Capabilities in relationship management, criterion assessments, attention to detail and administration. · An understanding of conservation organisations and non-government organisations (NGOs) is desirable. · Experience working in conservation in Southeast Asia.
