Grants Manager

Purpose of the Role: We are looking for an experienced Grants Manager to help secure and manage Ukrainian and international grant funding for our technology development.
Working closely with the grants lead, you will independently manage assigned applications and funded projects throughout their lifecycle: from assessing opportunities and writing proposals to coordinating delivery, reporting, and grant closure.
This is a hands-on role for someone who can turn technical input into a compelling application, build a realistic project budget, and keep funded projects on track. Practical experience with Brave1 grants will be a major advantage. Experience with the European Defence Fund (EDF) or comparable EU collaborative funding programmes (e.g. Horizon Europe) will also be a strong advantage.

Key Responsibilities:

• Identify and assess relevant Ukrainian and international grant opportunities, including Brave1, against the company’s product roadmap, eligibility, and delivery capacity.
• Prepare and submit high-quality applications, including project narratives, work plans, budgets, milestones, and supporting documents.
• Work with engineering and product teams to translate technical concepts into clear objectives, measurable outcomes, and well-structured proposals.
• Coordinate input from finance, legal, and other teams to ensure applications and reports are accurate, complete, and submitted on time.
• Manage assigned grants after award: track deliverables, spending, deadlines, and reporting obligations; identify risks and coordinate necessary changes.
• Prepare narrative and financial reports with relevant teams, maintaining the supporting documentation required for reviews and audits.
• Communicate with grant providers and programme administrators throughout the application and implementation process.
• Support EU and other international applications (e.g. EDF, EDIP, NATO-related programmes): coordinate with consortium partners, prepare the company's contribution to joint proposals (work package input, budget and administrative documents), and contribute to consortium and grant agreement preparation.
• Maintain accurate records of applications and active projects, and contribute to shared templates and better grant management processes.

Experience and skills we are looking for

• 3+ years of hands-on experience preparing grant applications and managing funded projects.
• A proven track record of successful applications, with a clear explanation of your personal contribution to securing funding.
• Experience across the grant lifecycle, including proposal writing, budgeting, implementation, and reporting.
• Strong writing skills in Ukrainian and English, with the ability to produce clear, persuasive, and well-structured applications.
• Ability to understand complex technical information and work effectively with engineers and product teams.
• Practical experience with project budgets, eligible costs, financial reporting, and supporting documentation.
• Strong attention to detail and the ability to manage several applications or projects with overlapping deadlines.
• Independence and accountability: you take ownership of your projects, follow up proactively, and flag problems early.

It’s a plus if you have

• Direct experience with Brave1 grants, particularly successful applications and subsequent project reporting or closure.
• Hands-on experience with the European Defence Fund (EDF) or comparable EU collaborative funding programmes (e.g. Horizon Europe), including consortium building, proposal preparation on the EU Funding & Tenders Portal, and managing work packages or partner contributions in multi-partner projects
• Experience securing funding for defence technology, hardware, R&D, or other technology-intensive projects.
• Familiarity with drones, sensors, AI, or autonomous systems.
• Experience working with international partners or research and industry consortia.
• Experience supporting grant audits or donor reviews.
