What you’ll be doing

You'll help deliver seamless guest experiences, handling everything from individual requests to arrangements for small groups.

  • Manage guest requests from initial enquiry through to completion, including travel, accommodation, registrations, bookings and guest communications.

  • Coordinate individual guest arrangements and small group requests, typically for groups of ten or fewer, ensuring every detail is taken care of.

  • Use Cvent to manage registrations, maintain accurate guest information and keep event data up to date.

  • Act as a point of contact for clients and guests, responding to requests, resolving issues and keeping everyone informed throughout the process.

  • Monitor bookings, costs and budgets, maintain accurate records and provide timely reporting.

  • Ensure all arrangements meet client requirements and applicable pharmaceutical compliance regulations, while identifying opportunities to improve processes and the guest experience.

What you’ll bring

Experience & skills

  • 3+ years of experience in guest services, delegate management, travel coordination or a similar event operations role.

  • Previous experience working within the pharmaceutical and/or healthcare events industry.

  • Strong hands on experience with Cvent, including registrations, guest data management and reporting.

  • Experience coordinating travel, accommodation, bookings and communications for guests or event participants.

  • Excellent organisational skills and attention to detail, with the ability to manage multiple requests and changing priorities.

  • Strong customer service, communication and problem solving skills.

  • Comfortable working independently, taking ownership and knowing when to flag an issue.

  • Good working knowledge of Microsoft Office, particularly Excel.

  • Fluency in English & Spanish (No scrambled oeufs at egg, svp.)
