The Healthcare Operations Coordinator supports cross-functional initiatives across Clinical Operations, Quality, Network Growth, Revenue Cycle/Billing, Clinical Administration, and Referral Management for Astrana Care of Nevada. This role collaborates with clinic teams, providers, operational leaders, quality teams, network growth partners, billing teams, and referral staff to improve member access, support operational performance, enhance member engagement, and advance organizational goals. The Coordinator provides operational support for member outreach activities, project coordination, scheduling and follow-up efforts, practice operations, and cross-functional initiatives while helping drive a culture of accountability, collaboration, and continuous improvement.

What You'll Do

Operations & Project Coordination
  • Support operational projects across Las Vegas clinics, including project planning, coordination, tracking, follow-up, and status reporting.
  • Maintain project trackers, dashboards, worklists, and reporting tools used to monitor operational performance, deliverables, deadlines, and outreach activity.
  • Assist with workflow reviews, process improvement initiatives, standard operating procedures, and implementation of new operational processes.
  • Compile, organize, and validate data from approved systems to support leadership reporting and operational decision-making.
  • Coordinate with clinic managers, providers, medical assistants, front office staff, and corporate partners to support successful execution of assigned initiatives.
  • Support cross-functional projects designed to improve clinic efficiency, member experience, and operational performance.
Member Outreach & Engagement
  • Perform outbound member outreach to support empanelment initiatives, Annual Wellness Visit (AWV) scheduling, preventive care efforts, and approved quality campaigns.
  • Utilize electronic health records (EHRs) and approved scheduling systems to identify appointment availability, coordinate scheduling activities, and document outreach efforts.
  • Support PCP assignment and empanelment workflows by reviewing member lists, identifying attribution or scheduling needs, and escalating issues appropriately.
  • Maintain accurate documentation of outreach activities, scheduling outcomes, and member engagement efforts.
  • Provide routine reporting on contact rates, appointments scheduled, unresolved issues, and barriers to care.
  • Support initiatives that improve member access, engagement, and continuity of care.
Clinical Administrative Support
  • Support clinical teams with non-clinical coordination activities that improve patient access, clinic workflow, and continuity of care.
  • Assist with administrative review of work queues, patient lists, and operational follow-up activities.
  • Coordinate records requests, scheduling needs, and internal handoffs between clinical and administrative teams.
  • Support operational activities that enhance service delivery and patient experience while maintaining compliance with organizational policies and procedures.
  • Escalate issues requiring clinical review or leadership intervention to the appropriate team members.
Network Growth & Enrollment Support
  • Support Network Growth initiatives during Annual Enrollment Period (AEP), Open Enrollment Period (OEP), Special Enrollment Periods (SEP), and other membership growth activities.
  • Assist with member outreach campaigns, PCP alignment efforts, appointment capacity tracking, clinic access reviews, and operational readiness initiatives.
  • Collaborate with Operations and Network Growth teams to support newly attributed and newly enrolled members.
  • Identify and communicate access barriers, scheduling constraints, and operational challenges that may impact member onboarding and retention.
  • Support initiatives that enhance member acquisition, engagement, and long-term retention.
Compliance & Operational Excellence
  • Maintain accurate records and documentation related to operational initiatives, outreach activities, scheduling efforts, and project deliverables.
  • Ensure compliance with organizational policies, HIPAA requirements, and applicable healthcare regulations.
  • Identify operational barriers and escalate issues that may impact member access, clinic performance, or project success.
  • Participate in team meetings, training activities, and operational initiatives as assigned.
  • Support organizational goals through collaboration, accountability, and continuous process improvement.
  • Perform other duties and special projects as assigned.

Qualifications

Education
  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Health Sciences, or a related field preferred.
  • Current students and recent graduates with relevant coursework or internship experience may be considered.
Experience
  • Prior internship, administrative, customer service, healthcare operations, project coordination, care coordination, or similar experience preferred.
  • Experience working with electronic health records (EHRs), scheduling systems, healthcare worklists, or member/patient outreach activities preferred.
  • Exposure to Medicare Advantage, value-based care, quality improvement, medical group operations, provider networks, or managed care environments preferred.
  • Experience coordinating projects, tracking deliverables, and supporting operational initiatives is a plus.
License/ Certifications (if applicable)
  • No certifications required.
Knowledge, Skills, and Abilities
  • Strong organizational skills with the ability to manage multiple priorities, worklists, projects, and deadlines.
  • Excellent verbal, written, and interpersonal communication skills, including professional member and patient communication.
  • Ability to navigate technology platforms, electronic health records, scheduling systems, spreadsheets, and Microsoft Office applications.
  • Working knowledge of healthcare operations, quality programs, member engagement strategies, and clinic workflows preferred.
  • Strong attention to detail and commitment to maintaining accurate documentation and reporting.
  • Ability to analyze operational information, identify trends, and escalate concerns appropriately.
  • Ability to work independently while collaborating effectively across cross-functional teams and departments.
  • Strong problem-solving skills and a proactive approach to supporting operational success.
  • High degree of professionalism, accountability, integrity, and confidentiality.
  • Commitment to delivering exceptional member experiences and supporting organizational objectives.
Preferred Qualifications
  • Experience supporting healthcare operations, clinic operations, care coordination, network management, or member services programs.
  • Experience working in a value-based care, Medicare Advantage, managed care, medical group, IPA, or health plan environment.
  • Experience conducting outreach, scheduling appointments, or supporting member engagement initiatives.
  • Experience utilizing reporting tools, dashboards, spreadsheets, or operational tracking systems.
  • Experience supporting cross-functional projects and operational improvement initiatives.

Environmental Job Requirements and Working Conditions

  • This position is based in Las Vegas, Nevada and supports Astrana Care of Nevada operations.
  • The employee may work in administrative offices, clinic settings, or other approved work locations based on business needs.
  • Occasional travel between local clinic locations or attendance at community, provider, and network events may be required.
  • The employee must be able to attend meetings in person or virtually based on business needs.
  • Work requires regular use of computers, telephones, electronic health record systems, scheduling platforms, reporting tools, and virtual communication technologies.
  • The employee must comply with Astrana Health policies and procedures regarding patient privacy, protected health information, and all applicable federal and state regulations.
