Job Description

This is a remote position.

HelpSquad is seeking experienced Healthcare Virtual Assistants to support U.S.-based behavioral health, mental health, psychiatry, and therapy practices. We are looking for reliable, detail-oriented professionals with hands-on healthcare experience who can help practices manage daily administrative and patient support operations.


Depending on your experience and the needs of the practice, responsibilities may include front desk support, patient coordination, insurance verification, medical billing, documentation, or appointment scheduling.


Key Responsibilities

Front Desk and Patient Coordination: Handle incoming calls, schedule and reschedule appointments, manage patient inquiries, coordinate intake, and conduct follow-ups.

Insurance Verification and Prior Authorizations: Verify patient insurance eligibility and benefits, submit prior authorization requests, and follow up on pending approvals.

Medical Billing and Claims: Submit insurance claims, monitor claim status, follow up on unpaid or denied claims, and assist with accounts receivable.

Documentation and Records Management: Maintain accurate patient records, assist with clinical documentation, support medical scribing, and manage electronic health records.

Patient Outreach: Contact former or prospective patients, support patient re-engagement, and assist with appointment setting and follow-up.




Requirements

Qualifications


Hands-on experience working in healthcare, behavioral health, mental health, psychiatry, or a related medical setting.

Experience with relevant healthcare workflows, depending on the position.

Familiarity with EHR and practice management systems such as SimplePractice, ICANotes, TherapyNotes, Tebra, or similar platforms.

Experience using insurance portals, phone systems, and other healthcare administrative tools is an advantage.

Strong written and spoken English, with a warm, professional communication style for patient-facing roles.

Excellent attention to detail, organizational skills, and the ability to follow established workflows.

Ability to handle confidential patient information responsibly and follow privacy requirements.

Reliable, self-motivated, and comfortable working independently in a remote environment.
