Position Overview


Our partner, a healthcare organization, is urgently seeking 60 Healthcare Workforce Scheduling Coordinator to support its Resource Optimization Center (ROC). The position plays an important role in maintaining appropriate staffing coverage across healthcare departments through accurate workforce scheduling, staffing coordination, timekeeping, attendance monitoring, and workforce reporting. The successful candidate will collaborate with department managers and healthcare operations teams to ensure efficient workforce utilization, accurate scheduling records, and timely resolution of staffing and attendance concerns.


Key Responsibilities


A. Workforce Scheduling and Staffing Coordination

  1. Create, update, and maintain daily, weekly, and shift schedules using electronic scheduling systems in accordance with hospital policies and operational guidelines.
  2. Coordinate with department managers to ensure appropriate staffing coverage based on operational requirements, patient census, and projected workloads.
  3. Review and process scheduling requests, including leave, shift changes, and employee preferences, following established approval guidelines.
  4. Identify staffing gaps, open shifts, and scheduling conflicts, and coordinate necessary adjustments.
  5. Finalize and publish schedules while ensuring accuracy, appropriate coverage, and efficient workforce utilization.
  6. Coordinate specialty staffing assignments and incentive-shift postings based on operational requirements and applicable policies.


B. Timekeeping and Attendance Management

  1. Monitor employee attendance, work hours, and timecards to ensure accuracy and compliance with established policies.
  2. Identify and coordinate the resolution of attendance discrepancies, missing time entries, and other timekeeping concerns.
  3. Review and process timekeeping requests within established approval authority.
  4. Prepare and validate timekeeping records for management review before payroll processing.


C. Workforce Reporting and Operational Support

  1. Prepare and maintain staffing, scheduling, attendance, and workforce utilization reports.
  2. Monitor staffing vacancies and coordinate with department managers regarding anticipated workforce requirements.
  3. Maintain accurate employee scheduling records and workforce data.
  4. Participate in staffing meetings, system training, and continuous improvement initiatives.
  5. Assist employees and managers with scheduling systems and related processes.


Minimum Qualifications - Must-Haves


Education

  • Bachelor's degree in Business Administration, Data Management, Nursing, Healthcare Administration, or a related field.


Experience

  • Minimum of one (1) year of healthcare experience in a hospital or clinical setting.
  • At least one (1) year of relevant experience in staffing, workforce scheduling, staffing coordination, or scheduling software.
  • Familiarity with shift scheduling, attendance monitoring, timekeeping, or workforce allocation.
  • Strong organizational, analytical, coordination, communication, and problem-solving skills.
  • Ability to work effectively with healthcare professionals and operational stakeholders.

The healthcare and scheduling experience requirements may be satisfied through overlapping employment experience.


Preferred Qualifications — Not Mandatory

  • Familiarity with UKG/Kronos or similar workforce management systems.
  • UKG certification.
  • Previous experience in hospital staffing, healthcare workforce scheduling, or resource optimization.

Important: UKG knowledge and certification are advantages only. They are not mandatory requirements.


Work Arrangement and Onboarding

  • First three months: Full onsite attendance in BGC, Taguig, for Knowledge Transfer, systems familiarization, and operational training.
  • After the initial training period: Hybrid work arrangement, subject to organizational policies and operational requirements.
  • Target onboarding date: November 16, 2026.
