Position Summary
The Intake Coordinator is responsible for providing patient access to infusion therapies by verifying insurance eligibility, reviewing benefits, obtaining authorizations, and coordinating communication between patients, providers, nursing, pharmacy, and sales teams.
This role requires a strong understanding of infusion reimbursement, medical and pharmacy benefits, prior authorizations, and patient onboarding workflows.
This is not a general medical intake position. Candidates must have prior experience working in a Home Infusion, Specialty Pharmacy, or Infusion Center environment.
What You'll Do
- Enter patient, physician, insurance, and authorization information into company systems
- Review incoming referrals and prescription orders
- Contact patients and providers to obtain missing information
- Conduct comprehensive benefits investigations for new referrals
- Review both medical and pharmacy benefit plans
- Obtain clinical documentation needed for prior authorization submissions
- Follow authorizations through approval and resolution
- Communicate authorization status updates to patients, providers, and internal teams
- Manage denials and assist providers with appeals and peer-to-peer review processes
- Educate patients regarding coverage and financial responsibility
- Coordinate care across Nursing, Pharmacy, Sales, and Reimbursement teams
- Assist patients with manufacturer assistance programs and financial support options
- Maintain detailed documentation in patient records
- Identify alternate pharmacy providers when required by payer restrictions
- Support training and development of new team members
- Participate in process improvement initiatives and workflow optimization projects
Required Qualifications
- High School Diploma or GED
- Minimum of 2 years of experience in:
- Home Infusion Intake
- Specialty Pharmacy Intake
- Infusion Center Intake
- Authorization or Benefits Verification within an infusion environment
- Experience with insurance verification, benefits investigation, and prior authorizations
- Strong understanding of medical and pharmacy benefits
- Excellent communication and customer service skills
- Strong attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Advanced organizational and time management skills
- Ability to work independently with minimal supervision
- Proficiency in Microsoft Outlook, Word, and Excel
