- Salary of €32,500 to €38,500 on an incremental scale
- Membership of the company pension scheme from your first day
- Annual leave on top of public holidays
- Cycle to Work bike purchase and tax-free public transport tickets for commuting
- Employee Assistance Programme, plus wellbeing and health initiatives
- Support with learning and development, and room to build a career in HR
About the business Our client is a well-established semi-state body based in Dublin city centre, within easy reach of Luas, rail and bus routes. The HR team is supportive and encourages people to keep developing their careers.
The role This is a new position, created to give the HR team dedicated administrative support. It's an HR administration role with broad exposure to every stage of employment. You'll work alongside HR colleagues as the first port of call for everyday queries from employees and managers, dealing with what you can and referring anything that needs specialist advice or a judgement call to the right person in the team. Day to day your contacts will include HR colleagues, external service providers, line managers and staff, and you'll prepare board reporting, payroll and pensions inputs for others in the team to review.
What you'll be doing
- Running recruitment admin end to end, so interviews are booked, packs are ready, online sessions run smoothly, candidates hear back and reference checks get done
- Managing the recruitment inbox and portal, from posting vacancies to keeping consent records in order
- Handling new starters, internal moves and leavers, including checklists, standard paperwork, onboarding and exit admin, and requests for IT equipment, mobile devices and system access
- Keeping attendance and leave records accurate, covering annual leave balances and adjustments, carryover, sick leave, occupational health admin and timesheets
- Getting payroll, pension and reward information ready for sign-off, then helping put agreed changes through
- Producing standard HR letters, such as employment, contract, pay review and probation letters, from approved templates and passing anything non-standard on for review
- Supporting retirement admin, from tracking each step to booking retirement courses and keeping records up to date
- Updating HR systems and workforce data, cleaning up records and spotting gaps or anything that looks wrong
- Pulling together routine reports, such as data for board reports, leave balances, timesheet compliance and pensions figures, along with ad hoc requests
- Looking after training admin, from booking courses and sending reminders to tracking who attended and collecting feedback
- Supporting early-careers programmes, including internships, Transition Year and graduate intakes
- Writing up HR notices and staff updates for sign-off and keeping HR intranet content current
- Organising meetings, committees and HR events, including agendas, note-taking, action logs, room bookings and catering
- Handling the admin side of purchasing and budgets, from purchase orders to supplier and invoice queries
- Keeping HR policies, templates, SOPs and the organisation chart up to date, with version control in order
- Day-to-day office support for the HR team, including filing, scanning, post and ID cards
What we're looking for Essential
- At least one year's administrative experience within a busy, service-focused environment, ideally in HR or another setting that handles confidential information
- Confident across Microsoft 365, particularly Excel, Word, Outlook, Teams, SharePoint and PowerPoint
- A careful eye for detail, so records stay accurate and procedures are followed correctly
- Strong organisation, with several deadlines and priorities on the go at any one time
- A clear communicator in writing and in person, able to answer everyday questions and recognise when something needs to go further
- Sound judgement around confidentiality and how sensitive information is handled
- A collaborative, adaptable approach, working easily with managers, staff, outside providers and the wider HR team
- A proactive approach, picking up new systems and processes and spotting what needs following up
Desirable
- A qualification in HR, business studies or administration
- Experience with HRIS platforms, databases or recruitment portals
- Comfortable pulling data together into spreadsheets and simple reports
- Hands-on admin experience in areas such as payroll, recruitment, training, onboarding, pensions or the wider employee lifecycle
- Recruitment administration experience is a particular advantage, as it makes up a large part of the role
- Experience in a public-sector or semi-state environment
