Job Description

This is a remote position.

Currently, we are looking for an HR Assistant to join an established telecommunications company, delivering turnkey connectivity services across the UK. With more than 800 employees, the company works with major clients including Virgin Media, Community Fibre, GigaClear and Zayo.

We are looking for an HR Assistant to provide administrative support across the employee lifecycle and act as a first point of contact for routine HR queries. You will maintain accurate employee records, coordinate core HR processes, support reporting, and work closely with employees, managers, and the wider HR team.

Remote at the beginning, with a transition to a hybrid setup after a few months.

Your Duties:

As a HR Assistant, you will be responsible for:

  • Providing day-to-day administrative support across the full employee lifecycle, including onboarding, probation, appraisals, promotions, transfers and leavers.
  • Preparing and issuing HR documentation, including contracts, amendments, letters, reference requests and other employee correspondence.
  • Maintaining accurate and up-to-date employee records in HRIS and other HR systems, ensuring data integrity, confidentiality and GDPR compliance.
  • Supporting internal recruitment administration, including onboarding documentation and coordination with the Recruitment Team.
  • Acting as a first point of contact for routine HR queries from employees and managers, providing guidance on processes, timelines and documentation.
  • Supporting the HR team with employee relations administration, including performance, absence, disciplinary and grievance matters, escalating complex or sensitive cases appropriately.
  • Producing regular and ad hoc HR reports and supporting the analysis of workforce data, including absence, turnover and performance trends.
  • Ensuring HR data is accurate, timely and clearly presented to support effective decision-making.
  • Supporting HR projects and initiatives, including annual pay reviews, apprenticeships, inductions, policy updates and other ad hoc HR activities.
  • Contributing to the continuous improvement of HR systems, processes, and ways of working, identifying opportunities to improve efficiency and service delivery.
  • Supporting the delivery of HR guidance, training, and coaching to managers and employees on HR policies, procedures and best practices, under guidance.
  • Using AI and digital HR tools to improve the efficiency and accuracy of HR processes, while maintaining appropriate data privacy and governance standards.
  • Carrying out any other reasonable duties as requested.


Requirements

  • 2+ years of experience in HR administration, HR coordination or a similar HR support role.
  • Good understanding of HR administration and employee lifecycle processes.
  • Basic understanding of employment law, HR policies and compliance requirements.
  • Knowledge of GDPR and data protection principles, with the ability to handle confidential employee information appropriately.
  • Experience working with HRIS or other HR software systems and maintaining accurate employee records.
  • Experience producing HR reports and working with employee data and management information.
  • Good working knowledge of Microsoft Office, particularly Excel, Word and PowerPoint.
  • Ability to manage multiple tasks and deadlines in a fast-paced, time-sensitive environment, with strong attention to detail.
  • Strong communication and interpersonal skills with the ability to build effective relationships with employees and managers.
  • Ability to handle sensitive matters with confidentiality, professionalism and discretion.
  • Awareness of AI and digital HR tools and their use in improving HR processes and employee experience.
  • English language Upper Intermediate B2 is a must.
