Oxford Economics, a leading economic forecasting and consulting firm, is looking to expand our Human Resources (HR) team. The HR Coordinator will play an important role in delivering efficient, accurate and responsive HR support across Oxford Economics, with a particular focus on our UK, Europe and Asia Pacific offices. The role will support the full employee lifecycle, from onboarding and induction through to employee changes and offboarding. It will also provide support across HR data and reporting, payroll, benefits, HR systems, learning and development, performance reviews and wider HR projects. This is a broad role and would suit someone who is keen to develop their HR career. We are looking for someone who is curious, ambitious and willing to learn, rather than someone who simply wants to process HR administration. There will be opportunities to take on additional responsibilities, develop knowledge across different areas of HR and contribute ideas about how we can improve our processes and employee experience. Key Responsibilities HR Operations and Employee Lifecycle Coordinate the onboarding process for new joiners, including preparing documentation and ensuring all relevant information is collected before their start date. Deliver or support HR inductions and coordinate onboarding sessions and events. Prepare employment contracts, offer letters, contract amendments and other employee correspondence. Process employee changes including promotions, salary changes, transfers, changes to working arrangements and other contractual updates. Maintain accurate and up-to-date employee records across HR systems and internal records. Support right-to-work, visa and immigration checks in line with relevant requirements. Coordinate probation processes and ensure relevant managers are reminded of key dates and actions. Support maternity, paternity, parental leave, sabbaticals and other employee lifecycle processes. Coordinate the offboarding process, including leaver documentation, system updates, payroll notifications and exit processes. Respond to day-to-day HR queries from employees and managers, escalating more complex matters to the appropriate HR colleague. Payroll and Benefits Support monthly payroll processes by ensuring employee changes and relevant information are accurately recorded and submitted within payroll deadlines. Review payroll information and help identify discrepancies before payroll is finalised. Support the administration of employee benefits including private medical insurance, dental insurance, pension arrangements, Cycle to Work and other benefits. Work with external providers and internal Finance colleagues where required. Maintain accurate benefit and payroll records and support periodic audits and reconciliations. HR Data, Reporting and Analytics Maintain high levels of data quality across HR systems and records. Produce regular HR reports and management information. Use Excel to analyse employee data, identify trends and provide useful insights to the HR team. Carry out regular data checks and identify inconsistencies or areas requiring action. Recruitment Support Take on some recruitment responsibilities as part of the role, with support and guidance from the Recruitment and wider HR team. Gradually develop experience across the recruitment process, including advertising roles, reviewing applications, coordinating interviews and supporting candidate communications. Work with hiring managers to understand recruitment needs and support them through the hiring process. Support pre-employment checks, offers and the transition from candidate to new employee. Develop confidence in recruitment systems, processes and best practice over time. HR Systems and Process Improvement Support the administration and ongoing development of HR systems. Identify opportunities to simplify or improve HR processes and employee communications. Support testing and implementation of new HR processes, systems and tools. Help maintain HR templates, guidance documents, policies and process documentation. Take ownership of routine HR processes and proactively identify where improvements can be made. General HR Support and Projects Support HR projects and initiatives across the UK and internationally. Assist the wider HR team during busy periods and major annual processes such as performance reviews, salary reviews and benefits renewals. Work collaboratively with HR colleagues across different regions and time zones. Support the preparation of HR communications and employee information. Undertake ad hoc HR projects, analysis and administrative activities as required. Carry out other reasonable duties and responsibilities assigned by the line manager or Global Head of HR. Skills, Knowledge & Expertise Required Previous experience in an HR Administration, HR Coordinator, HR Operations or similar role. Strong attention to detail and a high level of accuracy when working with employee data and documentation. Strong organisational skills with the ability to manage multiple priorities and deadlines. Good numerical and analytical skills. Strong Excel skills and confidence working with HR data, spreadsheets and reports. Good working knowledge of Microsoft Office, particularly Excel, Word, PowerPoint and Outlook. Strong written and verbal communication skills. Confidence communicating with employees and managers at different levels of an organisation. Ability to handle confidential and sensitive information with discretion and sound judgement. A proactive approach and willingness to take ownership of tasks. Ability to work effectively as part of a busy and geographically dispersed HR team. Desirable Experience working within an international or multi-country organisation. Experience using an HRIS or other people management systems. Experience supporting payroll, benefits or HR reporting. Experience producing or analysing HR data and management information. CIPD qualification or currently working towards a CIPD qualification. The HR Coordinator will gain exposure to a broad range of HR activities across different countries and will have opportunities to develop experience in HR operations, employee relations, HR analytics, performance management, learning and development, reward and international HR.
