Overview
Love keeping things organized, helping people, and being the one everyone can count on? We’re looking for an enthusiastic HR/Office Coordinator to bring energy, organization, and a positive attitude to our team!
You’ll help keep the office running behind the scenes while also being a friendly face and a go-to resource for employees. Whether you’re welcoming visitors, coordinating an event, keeping employee records up to date, or tackling the next task on the list, you’ll play a big part in making our workplace a great place to be.
Local Candidate and Hybrid Requirement: Must be available to work onsite at our Naperville, IL office three days per week, with flexibility to work onsite up to five days per week for special events.
Schedule is Monday–Friday, with typical office hours of approximately 8:00 a.m. to 5:00 p.m.
Responsibilities
Office Vibes & Administration:
- Be the first face visitors see: greet and guide guests with a friendly smile, assist with essentials such as coats and drinks, and ensure everyone feels welcome.
- Maintain office cleanliness and organization, including keeping the fridge stocked and free of forgotten items, managing office supplies, and ensuring the office space is always presentable.
- Keep the office running smoothly by handling general administrative tasks and serving as the primary point of contact for office-related needs, including distribution of letters and shipment of packages.
- Collaborate effectively with other departments to ensure operations run efficiently while contributing to a positive office environment.
Event Planning Extraordinaire
- Organize and execute company events, including team lunches and after-work mixers, handling setup, management, and takedown to ensure seamless execution.
- Manage internal conference room logistics and provide support for external booking requests as needed.
- Design and plan events that enhance team morale and strengthen office culture.
Onboarding & Employee Engagement Guru
- Oversee the onboarding process to ensure new hires feel welcomed, informed, and prepared for their role.
- Gather employee feedback through surveys and implement actions to maintain a productive and engaging workplace.
- Lead employee engagement initiatives, including wellness programs and recognition activities, to promote a connected and valued team.
Intranet Maintenance & Communication
- Maintain and update the company intranet, ensuring content is current, informative, and accessible.
- Manage internal communications to keep employees informed of company news and upcoming events.
- Direct main office line voicemails to the appropriate personnel.
- Administer employee recognition programs, including tracking nominations, processing gift card orders and awards, and assisting employees with program inquiries.
Tracking & Reporting Pro
- Track key HR and office operations data in Excel, ensuring accuracy and completeness.
- Maintain and update employee records, ensuring information is accurate, complete, and properly documented.
- Prepare and present information in PowerPoint to clearly convey important insights to the team and leadership.
- Take ownership of assigned tasks and processes, ensuring completion with efficiency, accuracy, and accountability.
Essential Skills and Experience
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Minimum of at least three years of full time related experience.
- Strong organizational skills and attention to detail, ensuring tasks are completed accurately and efficiently
- Excellent verbal and written communication skills
- Proficient in Excel and PowerPoint, with the ability to track data, generate reports, and present findings clearly
- Ability to handle sensitive and confidential information with discretion and professionalism
- Strong time management skills, consistently meeting deadlines and managing multiple priorities
Preferred Skills and Experience
- Familiarity with HRIS and payroll systems; experience with Paycor preferred
- Experience utilizing the NectarHR employee experience platform
- Proficiency with the SkillsPath training and development platform

Physical Requirements
This role involves sitting or standing for extended periods, using computers, phones, and other office equipment. Visual acuity and manual dexterity are needed for reading documents and handling materials. Occasional lifting of items up to 20 lbs. and frequent phone communication is required.

The compensation range listed below represents the potential salary for this role at the time of posting. However, the final salary may be higher or lower than the stated range, and this range may be adjusted in the future. An employee’s placement within the salary range will depend on various factors, including but not limited to relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any applicable collective bargaining agreements, and the needs of the business or organization. The salary range for this role is $40,000 to $50,000 per year.
