We are looking for an HR Operations & Office Coordinator to support employees across day-to-day HR processes and help establish our client’s new Krakow office. This role combines employee support, HR administration, and office coordination.

You will be the first local HR Operations team member in Poland, while working closely with an experienced international HR team. You will receive training on the company’s systems and processes, and you will have clear routes to escalate more complex matters.

Responsibilities:

  • Act as a first point of contact for employees’ routine HR questions, providing clear answers or directing more complex matters to the right specialist.
  • Coordinate administrative steps in onboarding and offboarding, including paperwork, background checks, required employee information, system access, and day-one arrangements.
  • Support employees with questions about benefits, leave, and company policies, working with HR colleagues when additional expertise is needed.
  • Review HR transactions and employee information in Workday to help keep records accurate and up to date.
  • Maintain employee documentation and help prepare information for HR and compliance audits.
  • Document common questions and processes to make information easier for employees and colleagues to find.
  • Help set up and coordinate the day-to-day running of the Krakow office, including contact with vendors, supplies, workplace arrangements, and employee visits.
  • Work with HR, IT, Finance, Legal, and workplace colleagues to keep local processes running smoothly and identify opportunities to improve them.

Requirements:

  • 2+ years of experience in HR administration, People Operations, office coordination, or a similar role.
  • Strong attention to detail and a reliable approach to handling employee information and administrative tasks.
  • Good organizational skills and the ability to manage several requests at the same time.
  • A helpful, service-focused approach and the ability to build relationships with employees and colleagues.
  • Confidence in following established processes, spotting discrepancies, and asking for support or escalating an issue when needed.
  • Willingness to learn new systems and help develop processes in a new local office.
  • Experience supporting benefits, leave, onboarding, or offboarding is a plus.
  • Familiarity with an HR system such as Workday, a ticketing system, or basic Polish employment requirements is a plus.
