Overview
Position Summary
The Lead HR Operations & Compliance Coordinator serves as the central liaison and functional lead across the HR Coordinator, Specialist, and Onboarding functions to ensure operational alignment, compliance integrity, and consistent employee experience. This role is responsible for overseeing day-to-day execution of HR processes related to onboarding, leave administration, data accuracy, document management, and system workflows. The lead will drive process improvements, standardize documentation, provide cross-training support, and act as the escalation point for complex cases, thereby ensuring efficient and compliant service delivery across all HR operations.

- Coordinate day-to-day activities of HR team members across onboarding, leave management, HRIS data entry, and compliance support functions.
- Assign and monitor workload distribution based on ticket volume, project deadlines, and operational needs.
- Act as the escalation point for complex inquiries, process deviations, and system errors.
- Foster cross-training and documentation sharing to enable role flexibility across the HR operations team.

- Oversee full employee lifecycle operations, including new hires, transfers, rehires, and terminations, ensuring accuracy in UKG and iCIMS systems.
- Review and approve data transactions for quality and compliance before final processing.
- Ensure onboarding and offboarding protocols meet audit readiness and state-specific compliance requirements for educational settings.

- Support and coordinate the administration of FMLA, ADA, and other statutory and personal leaves across the enterprise.
- Ensure consistent documentation practices and partner with vendors, Payroll, and Benefits to align on processing timelines and reporting accuracy.
- Monitor SLA timelines and develop tracking dashboards to support compliance and service improvement initiatives.

- Serve as subject matter expert on UKG workflows including demographic updates, onboarding templates, task routing, and employee self-service support.
- Audit and enhance system workflows, proactively identifying errors and process delays to improve turnaround time.
- Lead quarterly data integrity audits and coordinate reconciliation processes across systems.

- Oversee internal audits of background checks, I-9s, licensure verification, and document reclassification across all divisions.
- Maintain ownership of compliance dashboards and readiness documentation for internal and external audits.
- Ensure HR document retention schedules and digital filing practices are consistently followed across the team.

- Develop and deliver regular analytics on onboarding loads, LOA trends, and ticket resolution metrics.
- Partner with HR leadership on compensation benchmarking, surge hiring coordination, and compliance refresh projects.
- Contribute to internal documentation such as job aids, FAQs, and knowledge base updates.

Education & Experience
- Bachelor’s degree in HR, Business Administration, or related field.
- 5+ years of progressive HR experience with at least 2 years in a lead, coordinator, or specialist capacity.
- Prior experience overseeing HR operations, onboarding, or LOA in education or healthcare sectors preferred.
Technical Skills
- Advanced knowledge of UKG (UltiPro) HCM platform.
- Familiarity with iCIMS or other applicant tracking systems.
- Strong MS Excel skills (pivot tables, data modeling) and proficiency in Microsoft Office Suite.

Work Environment
- This is a remote-based role operating on Eastern Standard Time (EST) hours, with occasional travel for training or project implementation.
- The role reports directly to the HR Operations Director and works closely with HR Business Partners, Payroll, Benefits, and Legal.
