At the core of the role
We are looking for an HR Services Specialist to support our client’s employees throughout the entire employee lifecycle, from pre-hire to retirement. This is a 9‑month contract role covering a temporary leave, with a hybrid work model requiring presence in the Gdańsk office three days per week.
As an HR Services Specialist, you will serve as the first point of contact for employees and managers, providing guidance and support across a wide range of HR processes and services. You will partner closely with HR teams and business leaders, coordinate transactional and administrative HR activities, and help ensure a seamless employee experience. The role also involves supporting HR initiatives and projects, monitoring compliance with local labor laws and HR policies, managing supplier relationships, and identifying opportunities to improve processes through data and insights. We are looking for a proactive professional who thrives in a dynamic international environment, demonstrates a strong customer-service mindset, and can effectively prioritize work while collaborating with stakeholders across different locations and time zones.
Core skills you’ll bring
Minimum of three years HR service delivery experience with Ukraine
In depth knowledge of Ukrainian labor law and local country regulations
Experience using government portals
Strong written and oral communication skills, in Ukrainian and English
Strong organizational skills with the ability to prioritize and manage multiple tasks concurrently
Proficiency in Microsoft 365, including Teams, Excel, PowerPoint, and Word
Team-oriented, adaptable and solution-focused
Do the right thing, give a damn and show up with kindness, collaboration and respect
Nice-to-have
Bachelor’s degree or recognized qualification or relative years’ experience in Human Resources
Experience using Workday and/or ServiceNow is an advantage
The impact you'll create
Responding to general HR queries from employees, providing policy and procedural guidance (manage and prioritise queries received via email, ticket and in-person)
Serving as an employee advocate to identify resources for resolution of issues and concerns
Preparation of contractual HR documentation relating to job changes, business travel, personal travel, reference letters and income certificates for Ukrainian employees
Responsibility for all local country compliance activities, such as (but not limited to) preparation of military paperwork and hard copy contractual documentation management
Performing HR transactions within HR system of record (Workday), including citizenship verification, personal information changes and change job transactions
Monitoring sick leave data, tracking absences using a timekeeping platform
Supporting improvements to HR processes across the employee lifecycle; collaborating with HR cross functional teams to ensure consistent and effective execution
Supporting the development and implementation of new or revised HR programs, policies and processes
Supporting regional and global projects: preparing statements of work, defining deliverables, resources, budgets and schedules; developing contingency plans; monitoring project progress and reporting status to stakeholders
Participating in special projects and performing other duties as assigned
