  • Prepare employment contracts, amendments, employee certificates and other employment-related documentation
  • Coordinate occupational health examinations and health and safety training with external providers, monitoring their timely completion
  • Collect and verify employee documentation and coordinate onboarding and offboarding activities with employees, managers and relevant internal and external stakeholders
  • Enter and maintain accurate employee data in Oracle HCM, Enova and other relevant HR systems, ensuring consistency across employment documentation, HR systems and payroll records
  • Provide the external payroll provider with complete and accurate monthly payroll input in line with the payroll timetable, including information on new hires, leavers, salary changes, absences, overtime, benefits and other employee changes
  • Review payroll calculations and reports for accuracy and completeness, identify potential discrepancies and coordinate any necessary corrections with the external payroll provider
  • Act as the liaison between employees and the external payroll provider in relation to payroll, annual leave, sickness absence, PPK and other matters administered by the provider
  • Administer benefit enrolments for employees and eligible family members, maintain accurate enrolment records and provide employees with information on available benefits and applicable processes
  • Maintain and monitor recurring HR administration and payroll deadlines
  • Prepare regular and ad hoc HR reports and employee data summaries using the available HR systems and Excel
  • Provide operational support to the HR Director Poland and contribute to the implementation and improvement of local HR processes

Qualifications

  • University degree in Human Resources, Business Administration or Finance
  • 2–3 years of experience in HR administration, HR operations or a similar role
  • Practical experience in preparing employment documentation and coordinating employee lifecycle processes
  • Fluent Polish and English, both written and spoken
  • Experience in supporting payroll processes and working with an external payroll provider would be a strong advantage

Skills / Experience Required

  • Experience in using an HR system such as Oracle HCM, Workday or a comparable platform
  • Good knowledge of Excel
  • Good understanding of Polish HR administration, employee documentation and payroll processes
  • Working knowledge of Polish employment law, employment administration requirements and data protection principles
  • Working understanding of right-to-work and immigration documentation requirements would be an advantage
  • Strong attention to detail and commitment to data accuracy
  • Strong organisational and time-management skills, with the ability to manage recurring deadlines and prioritise effectively
  • Clear and professional communication skills, with a responsive and service-oriented approach to employees, managers and external providers
  • Ability to handle confidential and sensitive information with discretion
