HR Specialist, Sr
EpicorsoftwareSupports day-to-day HR Operations and Talent Acquisition processes, ensuring accurate employee data, timely employee and candidate support, compliant documentation, and effective use of Workday Recruiting. Partners with HR, Recruiting, Payroll, Benefits, IT, hiring managers, and external vendors to deliver accurate, efficient, and well-documented employee lifecycle processes.
Duties & Responsibilities
- Maintain accurate employee data, employee files, active and terminated records, and HR documentation in accordance with company policies and applicable regulations.
- Support Workday Recruiting maintenance, including requisition creation and updates, job postings, candidate records, application statuses, interview stages, offer details, approvals, and business process transactions.
- Coordinate requisition and offer review processes, troubleshoot workflow routing, approval, notification, candidate status, and data issues, and escalate complex system issues to Workday support or the appropriate internal team.
- Create offer, promotion, transfer, and internal change letters for internal and external candidates, ensuring accuracy and timely completion.
- Partner with Recruiting and HR to manage onboarding for new hires, temporary workers, and internal transfers, including Workday task completion, orientation coordination, and communications with HR and IT.
- Process and monitor background checks, including the US adverse action process, and ensure I-9 documentation is completed in line with applicable governmental requirements.
- Manage termination processes, including Workday transactions, ticket creation, exit materials, benefits and payroll notifications, and authorization of severance and COBRA commencement.
- Manage temporary worker processes, including extensions, terminations, communications with hiring managers, and coordination with the payrolling vendor.
- Monitor the HR Shared Services mailbox and respond to employee, candidate, hiring manager, background check, Workday, and process-related questions in a timely and professional manner.
- Own HR and recruiting reports, data analysis, process documentation, Workday testing, issue resolution, and continuous improvement initiatives.
Knowledge, Skills & Abilities
- Strong knowledge of HR Operations, employee lifecycle processes, recruiting administration, and HR data management.
- Working knowledge of Workday Recruiting, including requisitions, candidate management, job postings, offers, approvals, business processes, reporting, and routine maintenance.
- Ability to troubleshoot Workday Recruiting issues, identify data or workflow errors, document defects clearly, and partner with internal or external support teams to resolve them.
- Proficient in Microsoft Excel and Word, with the ability to maintain accurate records, prepare reports, analyze data, and identify trends or discrepancies.
- Strong written and verbal communication skills, with the ability to manage confidential information, respond to inquiries, meet deadlines, mentor colleagues, and collaborate effectively across teams.
Qualifications
- 3+ years of applicable experience in HR Operations, HR Shared Services, Recruiting Operations, Talent Acquisition Operations, or a related function.
- Experience using Workday Recruiting or a comparable Applicant Tracking System; Workday experience is preferred.
- Experience supporting Workday Recruiting maintenance, troubleshooting, reporting, testing, or business process administration.
- Experience with employee data management, onboarding, background checks, I-9 compliance, terminations, employee documentation, and HR reporting.
- Bachelor’s degree or equivalent combination of education and relevant experience
