We are looking for an energetic, proactive, and highly detail-oriented individual to join our team as an HRSD Specialist I – Preboarding. This is a full-time, fully remote maternity cover position for approximately 18 months, with a preferred start date in November.
In this role, you will support candidates throughout the preboarding process, coordinating employment documentation, background checks, and onboarding activities. We're looking for someone who enjoys working with people, thrives in a fast-paced environment, and has a strong eye for detail to ensure accuracy, compliance, and a great candidate experience. Experience in HR, onboarding, recruitment coordination, or administration would be an advantage.
Job Overview:
- The HRSD Specialist I – Preboarding (EMEA) is responsible for preparing employment agreements, coordinating preboarding activities, and managing the background check process. The role partners with candidates, recruiters, hiring managers, and HR stakeholders to ensure all pre-employment requirements are completed accurately, on time, and in compliance with company policies and local regulations. The HRSD Specialist supports a seamless onboarding experience by maintaining accurate records, tracking preboarding milestones, and providing exceptional customer service throughout the hiring process.
Summary of Responsibilities:
- Serve as a primary contact for preboarding-related inquiries from candidates, managers, recruiters, and HR teams.
- Coordinate preboarding activities including onboarding documentation, employment agreements, background checks, and new hire readiness.
- Process and maintain employee information in HR systems, case management tools, and tracking platforms.
- Ensure data accuracy, confidentiality, and compliance with company policies and local regulations.
- Monitor and complete assigned workload within established service levels and performance standards.
- Partner with HR, Talent Acquisition, Payroll, and business stakeholders to resolve onboarding-related issues.
- Support local or regional HR administrative activities as required.
- Contribute to process improvements and deliver a positive new hire experience.
Qualifications (Minimum Required):
- Customer-focused mindset with excellent organizational and administrative skills.
- Exceptional attention to detail with the ability to accurately manage documentation, data entry, and preboarding activities while maintaining confidentiality and compliance.
- Professional-level English proficiency with outstanding written and verbal communication skills.
- Other European language is a plus.
Experience (Minimum Required):
- 0-2 years of experience in HR, HR Operations, Shared Services, Recruiting Coordination, or an administrative support role.
- Experience working with HR systems, tracking tools, or case management platforms preferred.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Strong attention to detail and ability to manage multiple priorities.
Preferred Qualifications Include:
- Experience supporting preboarding, onboarding, or employee lifecycle processes.
- Familiarity with Workday, DocuSign and/or other HR systems.
- Knowledge of employment documentation and pre-employment screening processes.

- Office or remote work environment.
- Regular use of computers and standard office equipment.
- Ability to work at a computer for extended periods.
- Occasional flexibility to support global stakeholders across different time zones.
