Information Technology Administrator

Our esteemed client is looking for an experienced Keyloop Drive DMS Administrator / Specialist to take full responsibility for the administration, support, configuration and development of their dealership management system. This is a completely REMOTE position

Offering R50 000.00 – R65 000.00 CTC per month.

The successful candidate will be the main internal Keyloop support person and must be capable of working independently, from basic user administration through to advanced system configuration, accounting mappings and technical reporting. You will work alongside the internal IT team, collaborating on system access, integrations and broader technical issues where they overlap with the wider IT environment.

The successful candidate needs to be able to understand the technical, operational and accounting side of Keyloop Drive and should ideally be capable of resolving most issues internally without relying on Keyloop support.

Key Responsibilities:

• Full administration of Keyloop Drive, including creating users, managing user access and system permissions.
• Provide day-to-day Keyloop support to all dealership departments and troubleshoot system issues.
• Understand dealership processes across Vehicle Sales, Parts, Service, Stock and POS.
• Manage purchase orders, parts stock, vehicle stock and related DMS processes.
• Import and maintain parts price files and other system data.
• Set up new companies/business cells from start to finish, including users, departments, Cash Book, accounting configuration, mappings and reporting.
• Manage accounting periods, including opening/closing monthly periods and assisting with financial year-end.
• Understand accounting principles sufficiently to manage and troubleshoot DMS-to-General-Ledger postings and mappings.
• Build, modify and maintain technical/custom reports from the DMS.
• Extract and analyse data from the system and develop reports to meet management requirements.
• Have strong SQL/database and coding/report-writing skills.
• Assist with system integrations, imports and data troubleshooting.
• Test and implement system changes and ensure they do not negatively affect operational or accounting processes.
• Train and assist users with Keyloop functionality.
• Liaise with Keyloop technical support when issues need to be escalated.
• Work closely with the internal IT team on shared priorities such as user access, system integrations, and technical escalations.
• Continuously identify opportunities to improve and automate dealership processes through the DMS.

Ideal Candidate:

You should have:

• Strong hands-on Keyloop Drive experience.
• Previous experience as a DMS Administrator, DMS Specialist or similar.
• Automotive dealership experience.
• Good understanding of accounting principles, GL postings and account mapping.
• Strong SQL/database/reporting skills.
• Coding or programming experience.
• Advanced Excel skills.
• Strong analytical and problem-solving ability.
• Experience with parts, vehicle stock, POS and dealership accounting processes.
• The ability to work independently and take ownership of the entire Keyloop environment, while collaborating effectively with the broader IT team.
• Kerridge experience is a bonus, though not required.
