We are seeking a Program & Fiscal Coordinator to join Adler University’s Institute on Public Safety and Social Justice (IPSSJ) and provide administrative, fiscal, and data support to the Associate Director and Institute. This position will play an important role in supporting the day-to-day operations of IPSSJ, including fiscal tracking, grant reporting, data management, budget monitoring, and coordination with the University’s Finance team and external funders.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities. This is an opportunity to contribute to the work of IPSSJ while helping ensure that the Institute’s fiscal, data, and grant-related responsibilities are accurate, timely, and well managed.
Education and Experience

Bachelor’s degree from an accredited college or university.

One to three years of experience in finance operations, grant administration, fiscal management, data management, or a related field.

Experience with fiscal management, accounting, administrative tasks, or financial reporting software.

Experience with budget preparation, monitoring, and financial reporting.

Experience with grant/non-profit data entry, data management, and reporting.
Knowledge, Skills, and Abilities

Working knowledge of basic accounting principles and practices, including maintaining accurate financial records.

Knowledge of fiscal tracking, budget monitoring, reconciliation, and financial reporting.

Ability to maintain accurate and organized financial and grant-related records.

Ability to collect, enter, organize, and maintain data accurately.

Ability and willingness to learn and effectively use databases, financial systems, grant tracking systems, and other technology required for the position.

Strong computer skills, including proficiency with Microsoft Office applications.

Essential Duties and Responsibilities
-
Support the Associate Director with the day-to-day fiscal, data, grant administration, and administrative operations of the Institute on Public Safety and Social Justice.

Monitor expenses, revenues, and other financial transactions and maintain accurate fiscal records.

Assist with budget preparation, monitoring, and tracking for Institute activities and grant-funded programs.

Reconcile invoices, receipts, expense reports, and other financial documentation.

Prepare and maintain financial records and supporting documentation in accordance with University policies and grant requirements.

Prepare financial reports for grant funders and the University Finance department in accordance with required deadlines and guidelines.

Prepare data reports for grant funders and other stakeholders in accordance with required deadlines and guidelines.

Collect, enter, clean, organize, and maintain program and financial data.

Coordinate with the Finance department to support financial processes, reporting, and grant-related requirements.

Coordinate accounts payable and accounts receivable processes related to Institute activities, as appropriate.

Assist with the preparation of monthly, quarterly, and annual fiscal reports.

Assist with the preparation of monthly, quarterly, and annual data and program reports.

Monitor fiscal and data processes to ensure information is accurate, complete, and submitted on time.

Identify financial or data discrepancies and work with the appropriate individuals to resolve them.

Prepare expense reports and supporting documentation for review and approval.

Maintain organized records and documentation related to grants, fiscal activities, and reporting.

Perform other related duties in support of the Institute and Associate Director.
Work Environment (Physical Demands): The usual and customary methods of performing the jobs functions require the following physical demands: some lifting, carrying, pushing, and/or pulling and significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
Salary Range: $58,000.00 - $63,000.00
