The Opportunity
At The Luxe Nomad, we believe travel should feel effortless and unforgettable. As our International Reservations Executive for the Japan desk, you'll be the friendly, knowledgeable voice guests turn to — guiding them from first enquiry to confirmed booking, and making sure every detail is handled with care.
What You'll Do
• Own the guest journey — handle enquiries across email, chat, calls, and other channels for your assigned destination.
• Keep every booking accurate and organized in Freshdesk, RoomBoss, and partner portals.
• Match guests with properties that fit their stay, preferences, and budget.
• Respond to guests quickly, warmly, and accurately — every time.
• Drive direct bookings and strong conversion rates (price matching and more) to maximize revenue.
• Manage payments end-to-end: invoices, payment links, bank details, and deadline follow-ups.
• Resolve booking issues and complaints with care, escalating when needed.
• Coordinate amendments, refunds, cancellations, and credits with the right teams.
• Ensure a smooth handover to the Guest Experience team once bookings are confirmed and paid.
• Stay on top of open Freshdesk tickets, holds, and day-to-day housekeeping.
• Maintain strong quality audit scores and Customer Satisfaction (CSAT) results.
• Jump in wherever the team needs support — no task too small.
What You'll Need
• Certified in JLPT (Japanese Language Proficiency Test) — N1 or N2 level or Fluent Chinese/Mandarin speaker.
• Previous experience in reservations, customer service, hospitality, travel, or a similar guest-facing role.
• Strong communication skills with the ability to build rapport and provide exceptional customer service across email, phone, chat, and other digital channels.
• Highly organized with excellent attention to detail, able to manage multiple bookings and priorities accurately.
• Comfortable learning and using reservation systems, CRM platforms, and Microsoft Office or Google Workspace.
• A proactive problem-solver who remains calm under pressure and enjoys finding solutions for guests.
• Able to work independently in a remote environment while collaborating effectively with a global team.
Willing to work on a rotating roster, including weekends and public holidays, to support international guests across different time zones.
