The Job

As Investment Operations & Projects Associate, you will be the operational backbone of XA Network's INVEST pillar. Rather than sourcing or evaluating deals yourself, you will build and maintain the pipeline infrastructure, reporting, and processes that let us move faster and make better-informed decisions.

You will own the Airtable deal pipeline end-to-end, coordinate stakeholders between founders and members, and lead projects that improve how the INVEST pillar operates — from automating manual steps to building dashboards that give leadership real-time visibility into pipeline health and portfolio activity.

This role is ideal for someone with a project-management mindset who wants exposure to investment operations without requiring a deal-execution background.

Key Responsibilities

Pipeline & Investment Operations

• Own and maintain the deal pipeline on Airtable, ensuring data accuracy, timely updates, and clean handoffs between stages.
• Manage investment-related documents (e.g. term sheets, data room materials, investment memos) in coordination with the investment team.
• Support stakeholder management between founders and members, coordinating diligence requests, scheduling, and follow-ups.

Projects & Change

• Scope, plan, and manage projects that improve INVEST pillar systems and processes, from initiation through implementation.
• Identify and automate manual or repetitive steps in the deal and reporting workflow, escalating technical build needs where required.
• Maintain and refine process documentation and playbooks so the pipeline scales as deal volume and team size grow.

Reporting & Visibility

• Build and maintain dashboards tracking pipeline health, allocation, and portfolio activity for Leadership Team reporting.
• Query and visualise deal and member data to surface trends and support investment decision-making.

The Profile

• You have at least 2 years of experience in an operations, projects, or investment-support role; direct deal experience is a plus but not required.
• You have demonstrated experience delivering operational improvement projects or managing change in a fast-moving environment.
• Exceptional organisational skills, superb attention to detail, and timely responsiveness to requests are a must.
• You can prioritise and multitask across concurrent deals and projects while maintaining a commitment to deadlines.
• You are comfortable working with databases and able to query and visualise data for analytical and reporting purposes.
• You are comfortable working with and picking up digital platforms, including GSuite, Airtable, Zapier, PandaDoc, and DocSend.
• You are AI-native, with strong comfort building dashboards, automations, and reports using tools such as Claude Cowork, Codex, Qwen, or Gemini.
• You have the professional polish, including high-quality written and verbal communication skills, and the ability to demonstrate grace and composure under pressure.
• Integrity and discretion in handling confidential information.
