The IOP Coordinator will support the overall operational efficiency and administrative workflow of the Intensive Outpatient Program (IOP) by coordinating schedules, maintaining accurate program records and documentation, and tracking client attendance. The IOP Coordinator serves as a key administrative liaison between clinicians, clients, and internal teams to ensure seamless communication, optimal group capacity, and compliance with documentation standards under the direction of the IOP Manager. Duties and Responsibilities: Support the IOP Manager with IOP scheduling, group coordination, and other administrative tasks Maintain accurate IOP spreadsheets, group rosters, referral forms, attendance records, and program documentation Track group psychotherapy attendance and follow up with clinicians regarding missing or incomplete attendance documentation Update group referral sheets and assist with assigning clients to appropriate groups as directed by the IOP Manager Monitor group capacity, client start and end dates, and group availability to support accurate scheduling and program tracking Manage non-clinical IOP-related communication with referral sources, Athena staff, and clients, including routine follow-ups and administrative reminders Complete additional administrative tasks and projects as assigned by the IOP Manager Qualifications: Bilingual in Spanish preferred Experience in a healthcare setting preferred Strong communication and interpersonal skills Detail-oriented and outcome-driven Able to discreetly handle sensitive and confidential information Excellent organizational and prioritizing skills Demonstrates emotional intelligence in personal interactions Exceptional communication skills - written and verbal Advanced proficiency in Microsoft Office, Google Workspace, and other administrative and data management platforms Working Conditions This position will be located at either the Manhattan office at 33 West 60th Street, New York, NY 10023, Suite 600, the Bronx office at 2825 Third Avenue, Suite 402, Bronx, NY 10455, or Remote. This is a professional work environment where a computer, desk, chair and office supplies will be provided onsite at each of our offices. Physical Requirements The physical demands described here are representative of those that must be met by an employee in order to successfully perform the essential functions of the role above. While performing the duties of this job, the employee is regularly required to hear and speak on the phone or computer throughout the day, stand and sit for an extended period of time and be able to write and answer emails in addition to carrying objects no greater than 25 pounds, when needed.
