Role Summary The IT Governance Vendor Analyst is responsible for managing the end-to-end lifecycle of IT vendors, controlling costs, and ensuring compliance with information governance frameworks. This role serves as a critical bridge between IT, Procurement, Legal, and Finance, ensuring financial visibility, budget accuracy, and operational efficiency in technology acquisitions. Additionally, the analyst leads the centralization of contractual data and advanced cost analysis to support strategic decision-making. Core Responsibilities 1. IT Vendor & Contract Management Purchasing Autonomy: Independently execute and manage the full procurement process for IT purchases under $40k. Large-Scale Procurement Liaison: Coordinate the creation of Purchase Requisitions (PR) and delegate to the central Procurement department for acquisitions exceeding $40k. Data Centralization: Lead the migration, upload, and maintenance of IT contract information from multiple sources (SharePoint, Teams, emails, Summize) into the ServiceNow Vendor and Cost Management module. Contractual Tracking: Monitor the status of ongoing contracts and purchases, working in close collaboration with the Legal and Procurement teams. 2. IT Financial Management & Budgeting Monthly Reporting: Prepare and submit detailed monthly financial reports for Accounting and FP&A teams, specifically focusing on IT Accruals and IT Maintenance CAPEX . Invoice Control: Manage the financial workflow of IT invoices through the Invoice Register , ensuring proper validation, tracking, and approval. Dispute Resolution: Handle direct communication with vendors to correct and resubmit erroneous invoices, ensuring compliance with company payment obligations. Cost Visibility: Collaborate with IT leadership to enhance budget monitoring, cost forecasting, and data consistency across business verticals. 3. Governance, Processes & Strategy System Integration: Actively participate in User Acceptance Testing (UAT) for key systems to optimize internal workflows. Data Analytics: Develop data dashboards and visualizations (using Excel, PowerBI, or ServiceNow) for strategic projects such as "IT Costs Visualized" to facilitate long-term planning. Compliance: Ensure all purchasing and vendor management processes align with office policies and corporate IT Governance standards. Profile Requirements: Qualifications & Skills Technical Requirements ITSM Platforms: Experience or strong knowledge in managing the Vendor & Cost Management module within ServiceNow (Highly Desirable). ERP Systems: Knowledge or experience with Oracle ERP . Financial Analysis: Solid understanding of IT financial concepts: CAPEX, OPEX, Accruals, and budget management. Data Tools: Advanced proficiency in Microsoft Excel and PowerBI for data analysis, reporting, and performance metrics. Soft Skills Analytical Thinking & Problem Solving: Ability to structure complex, scattered data into actionable business insights. Communication & Negotiation: Strong interpersonal skills to interact effectively with external vendors and cross-functional internal teams like Legal, Finance, and Procurement. Autonomy & Organization: Proven ability to manage daily critical tasks independently, reducing operational overhead for management. AI & Innovation: Proactivity in adopting and optimizing Artificial Intelligence (AI) tools to improve workflow efficiency. Language Requirements English:Mandatory . Professional fluency (written and spoken) is required to coordinate with global teams, legal departments, and international vendors.
